EIT Climate-KIC (Knowledge and Innovation Community) is Europe’s foremost climate innovation initiative, entrusted by the European Commission to catalyse transformation through innovation. EIT Climate-KIC operates as a not-for-profit platform working through public-private partnership, wielding both public and private funding. We consist of 3 Legal entities: a Dutch BV Holding company (for profit) with 14 branches in European jurisdictions, providing grant management, innovation orchestration services, and impact investment advisory owned by a Dutch-based foundation with charity status – Climate-KIC International Foundation – with subsidiaries in the UK.

ABOUT THE ROLE

We are looking for an experienced PMO freelancer with both technical capabilities to work with our PPM provider and with internal and external stakeholders as required to support the implementation of Project Portfolio Management (PPM) software and to provide a centralised common toolset for managing Projects, Programs and Portfolios.


This will include implementation for an initial MVP implementation followed by analysis and coordination of integrations between the PPM toolset with our other existing internal business systems (Microsoft ERP, Salesforce CRM and PowerBI).


The service will be contingent on key deliverables for 2024 including:

  • Data structure – Data field names, calculations, data taxonomy to set up high-level core data structure.
  • Roles and Permissions – Role types, access types, roles permissions and responsibilities in the tool, workflows.
  • Reporting requirements – Requirements for any initial reporting needs. Custom reports for individual projects will need to be created, post-initial setup of standard reports for project and portfolio information tailored to different user types.
  • Processes for solution design – linked to reporting, this will require inputs and build on work with Finance and Project life cycle processes, it will need coordinated inputs from other stakeholders, specifically around the Pipeline/SalesForce as preparation for integration in Phase 2. In the phase 1, we are not anticipating any complex processes for the initial start, as the basic coverage is to get PMs up and running with planning Projects and core Project logs, however we would aim to prioritise the resource planning element with connected stakeholders.
  • Rate Cards – In conjunction with Finance and our People team, this is an important prerequisite to make the resourcing component work. We need role-based rate cards that all employees are linked to, so we do not need to store or view actual individual employee salary data in the tool, which would create additional complexities around data sensitivity and GDPR.
  • Test scenarios – We will need to test the system once it is implemented to ensure it is working as designed, as part of the solution, and build on the high-level process flows we have (or with a different level of detail), and will need a framework to focus this work.
  • Training and user guide documents – This needs to be created and tailored to our internal project management framework, with inputs from the solution design, there may be some standard materials that PPM could provide for us to build from and would include typical PPM tool user guides/materials.
  • Data to be migrated – for ongoing Projects, data will need to be migrated into the tool. A schedule of one project at a time is anticipated, however, we need deeper knowledge of the PPM data upload functions to understand what is needed and in what format/structure, so final migration approach can be agreed upon with stakeholders.
  • Admin/Config training – In conjunction with our Digital team training to enable the further rollout and configuration work ourselves.
  • Change Management general change management required for the project may cover other aspects, but the above covers the main areas.

Additional Information

Candidates must have the right to work in the location they’re applying for (I.e. not require visa sponsorship) prior to applying for the position. Ideally, the successful candidate will be based close to one of the EIT Climate KIC offices, but we support fully remote or hybrid forms of working and offer a high degree of flexibility. 


This is not an employment contract. We're looking for freelancers only and this position will not be converted to employment (fixed-term or otherwise).
