This position will report directly to the Director of Construction and supports the Real Estate, Development, and Construction Teams across the organization. The primary functions of the role will be providing administrative support to project teams including Project Management Software (Procore) and other Software applications including PowerPoint, Excel, Smartsheet, Bluebeam, and other Google Docs. The Contracts Administrator will be responsible for many aspects of the development and project planning processes including overseeing and monitoring project contracting, purchase orders, change orders, financial reporting, accounting and invoice / payment activities to ensure that processes are completed within prescribed schedules and budgets, in compliance with policies and procedures, and in accordance with federal, state, and local regulations. The Contracts Administrator is an integral part of the team on the project. The Contracts Administrator must demonstrate sound business sense, technical knowledge, leadership, organizational ability, time management, communication skills, and professional client service technique.</span></div><br><br><h3>Core Responsibilities</h3><ul><li>Prepares, reviews, and administers contractual proposals relating to Real Estate, Development, Capital Expenditure, Maintenance, Operational Expense, Renovation, Restoration and/or other development and construction projects as required.</li><li>Subject matter expert on all contract administration functions within the project life cycle. Develops the audit standards process for contract organization including the maintenance of contract files and the contract preparation process. </li><li>Effectively communicate and coordinate invoicing and payment policies and compliance with general contractors, subcontractor/vendor, consultant, sub-consultant and agency personnel as necessary.</li><li>Team interaction promoting positive internal and external vendor relationships.</li><li>Manage budgets and billing in Procore, NetSuite, Routable, Excel, and/or other software platforms as required and assigned. </li><li>Prepare vendor contracts for General Contractors, Sub Contractors, Engineers, other Design Professionals, and equipment vendors. Complete contract templates and liaise with internal teams or outside counsel to ensure accuracy.</li><li>Use document control protocols to audit, research, and manage electronic project folders. Track Mechanic’s Liens and conditional and unconditional releases for each project.</li><li>Pre-qualify external consultants and contractors to support or augment activities.</li><li>Review and process monthly progress billings with contractors, vendors and project manager(s). Interact with contractors and vendors to make corrections timely and as needed.</li><li>Review and process contractor and vendor change orders or additional service requests for approvals.</li><li>Monitor vendor compliance with appropriate departmental and interdepartmental team members.</li><li>Create, issue and track general contracts, subcontracts and work authorizations; follow up with general contractors, subcontractors and consultants regarding project paperwork as needed.</li><li>Perform other job essential assignments and special ad-hoc projects as assigned.</li></ul><h3>Preferred Qualifications</h3><ul><li>Possess exceptional organizational skills and ability to coordinate multiple projects simultaneously.</li><li>Ability to prioritize and effectively time manage projects, schedules and workload with little supervision.</li><li>Ability to effectively communicate and collaborate cross-functionally with various departments on projects and tasks. In this role, you will have the responsibility for managing execution of project development activities for priority sites, starting from close of site acquisition through construction. Such activities may include permitting, utility interconnection, engineering &amp; design and construction contractor engagement. Successful candidates will have mastery of important construction technical concepts. You bring critical thinking and interpersonal communication skills (oral and written) necessary for a range of responsibilities from quantitative fluencies to successful external public and commercial stakeholder engagement. You have a proven ability to take ownership and initiative. You prioritize attention to detail, time management, and organization in your work to manage multiple projects at one time, including site-specific project schedules, budgets, and other internal project control and reporting tools. With a demonstrated experience in construction project management, you will bring both greenfield and brownfield development expertise and hands-on leadership to grow with the team to deliver outstanding EV solutions and sites. By developing future transportation infrastructure, you will directly impact vehicle fleet operators' confidence and success in electrification.</span></div><br><br><h3>Core Responsibilities</h3><ul><li>Lead end-to-end management of construction for multiple large-scale EV charging infrastructure projects, consisting of greenfield or brownfield elements, building demolition, and on-site energy assets, such as battery energy storage, solar photovoltaic and low emission generators.</li><li>Report to management regularly on project development progress and lead regular project management meetings to communicate progress and expectations to all stakeholders in a timely and clear manner.</li><li>Conform and enhance project control tools for your projects, such as schedules and budgets.</li><li>Identify and coordinate with external consultants, such as engineering firms, contractors, vendors, and internal subject matter experts to support project development activities.</li><li>Proactively address potential issues and manage tasks to advance project development activities.</li><li>Lead process for management of detailed development and construction budget forecasts.</li><li>Analyze various elements required to deliver a viable site and develop schedule recommendations for completion timelines.</li><li>Work cohesively and collaboratively with internal stakeholders from development partners, Business Development, Product, Energy &amp; Utilities, Technology, Site Operations, Business Development, and Finance teams.</li><li>Be a principal evangelist for the electrification of transport, and the company’s role in making it happen.</li><li>Travel as needed (anticipated to be under 30%) to remote job sites for consultation, progress updates, and conflict resolution.</li></ul><h3>Preferred Qualifications</h3><ul><li>6 - 10 years minimum experience in construction or engineering.
