This role involves performing a wide range of complex and confidential administrative support duties which require strong organizational skills, responsiveness, effective prioritization, and attention to detail.Essential Duties and ResponsibilitiesThe essential functions include, but are not limited to the following:• Project Management: o Assists with the implementation of department or team projects, systems,procedures, and policies in accordance with management directives. o Manage workflows and ensure deadlines are met. o Implement and improve policies and procedures as needed. o Aid in budget preparation. o Manage the team’s annual performance review process. o Handle sensitive information with discretion and maintain confidentiality.• Document Management: o Create, organize and manage the department’s records, databases and electronic filing system. o Ensure that document management practices comply with company policies and relevant laws, regulations, and industry standards.• Research and Data Gathering:o Conduct research. o Assist in the preparation of reports, presentations, spreadsheets, correspondence and other documents. o Draft and edit correspondence as needed.• Calendar Management: o Manage and coordinate department/team schedules and meetings. o Daily tracking of team members’ work hours to input into the company’s time-tracking system.• Communication: o Handle incoming and outgoing communications, including emails, phone calls, and correspondence. o Facilitate communications between internal departments and external parties. o First point-of-contact for department administrative matters or other inquiries.• Meeting Coordination: o Setting up and coordinating internal and external meetings, conference calls and staff gatherings, including preparing agendas, taking minutes, and following up on action items. o Coordinate and manage logistics for meetings or company events, includingpreparing materials, securing meeting venues, and assessing technology andfood/beverage needs.• Travel Coordination: o Assist with planning and organizing travel arrangements, including flights,accommodations, and ground transportation. o Upload department head travel receipts into company’s credit card platform.• Other Duties: o Assist other departments/teams and office staff as needed. o Assist with planning companywide events. o Provide training and support to team members when company systems orprocedures are newly implemented. o Other duties within scope of the position as required.Minimum Qualifications (Knowledge, Skills, and Abilities)Must-Have Skills &amp; Experience• 5 - 6 years of proven experience in an administrative role• Effective written/verbal communication and interpersonal skills• Ability to prioritize tasks and manage workload efficiently• Proficiency in Google Workspace and MS Office suite (Word, Excel, PowerPoint, Outlook) and other office management software tools• Strong organizational and multitasking abilities• Ability to work independently and as part of a team• Strong attention to detail and problem-solving skills• Ability to handle confidential information responsibly• Customer-service orientated• Knowledge of basic bookkeeping and budgeting proceduresNice-to-Have Skills• Knowledge of basic bookkeeping and budgeting proceduresLocationCarbon Mapper is headquartered in Pasadena, California, but we embrace the virtual office and are continuing to grow our team across the United States. In order to support their client teams effectively, the Administrative Coordinator will be hired in the Central or Eastern time zones.CompensationThe total compensation for this opportunity includes a base salary range of $50,000 - $70,000/year. This is our target compensation range and is subject to multiple factors including level, experience, and location. Our mission is to aid in the acceleration of climate mitigation efforts globally at the scale of individual facilities. The Carbon Mapper public-private partnership includes Planet Labs, Inc., the California Air Resources Board, the University of Arizona, Arizona State University, and NASA’s Jet Propulsion Laboratory (JPL).Carbon Mapper uses advanced imaging spectroscopy remote sensing on satellites and airborne assets to detect and analyze methane and carbon dioxide emissions around the world and provide information data products to inform decision makers as well as the general public. As part of its public education and research support activities, Carbon Mapper will provide a global open data portal, including a data trust and a website offering rapid visualization and interpretation for both expert and non-expert audiences. Carbon Mapper also supports advances in science algorithms, machine learning, and big data for remote sensing through multi-source analytics, cloud computing, open-source development, and geospatial analytics.Position SummaryWe are looking for an Agile Project Manager to support Carbon Mapper’s engineering team by ensuring clear backlog management, prioritization, story refinement, and efficient sprint execution. In this role, you’ll help shape tools like our Data Portal, API, and overall data system which are central to delivering real-time emissions insights to policymakers, researchers, and industry leaders. Your work will directly support global efforts to reduce methane and carbon dioxide emissions by ensuring our platform delivers actionable climate data.The Agile Project Manager will collaborate closely with the Director of Engineering and Products, Technical Lead, Front-End Lead, and the rest of the engineering team to ensure user needs are well understood, issues and stories are clearly defined, and work is efficiently prioritized. This role will focus on backlog grooming, sprint planning, and Agile facilitation, helping the team stay focused on delivering high-impact software.
