Company Description: EVmatch is an early-stage cleantech company that’s advancing electric vehicle (EV) charging and widespread access through a reservation-based EV charging sharing platform. EVmatch’s app-based service allows homeowners, businesses, and multi-family properties to rent out private charging stations and supports widespread EV adoption. The EVmatch platform supports residential and commercial charging hosts who leverage the platform for management services, power sharing, and access controls with integrated EV charging equipment. EVmatch’s software creates a two-sided digital marketplace that makes EV chargers profitable for building owners and easily accessible by EV drivers. 

The Operations Team is responsible for company, customer, and partner-level operations and administration. The operations team ensures timely and successful delivery of all hardware products and software services. Additionally, the operations team manages HR administration and employee onboarding, vendor set-up and invoicing, accounting and financial reporting, inventory management, travel planning, purchasing, insurance, shipping and receiving, compliance, and company-wide communications systems.  You will work closely with the CEO, members of the Board of Directors, and the sales and marketing teams. We are a small, but growing team that values creativity, attention-to detail, organization, and taking ownership.

We are seeking an Operations Manager to oversee day-to-day operations at EVmatch and ensure customers and users are getting the maximum value from our products and services. This role is an opportunity to shape the future direction of the company’s organizational systems, financial and accounting systems, and staff recruitment and onboarding processes. Position Overview:

This position is an exciting opportunity for a seasoned operations professional looking to drive growth and impact for any early-stage company in the rapidly accelerating EV charging sector. The selected candidate will manage day-to-day company operations, employee onboarding, HR administration, inventory management, customer invoicing, order fulfillment, and financial forecasting/reporting. Successful execution in this role will significantly enhance the company’s next phase of growth and evolution.

With support from the CEO and the company’s outsourced accounting, legal, and HR compliance teams, the Operations Manager will be responsible for implementing and managing the company’s day-to-day operations to:

  • Ensure effective and successful management of labor, productivity, quality control, and safety measures
  • Enhance operational procedures, systems, and principals in the areas of information flow and management, business processes, finance, and management reporting
  • Develop and improve systems, documentation, training guides, and other procedures that prepare the company for increased scaling
  • Carry out HR and supervisory responsibilities in accordance with the company’s policies and applicable laws
  • Manage and control hardware and inventory assets to minimize loss and ensure customer/employee success

This position is a hybrid office/work-from-home appointment and requires work at least 3 days per week in EVmatch’s Redwood City-based office.

Specific Duties:

Specific job duties include, but are not limited to:

Staff Recruitment, Onboarding, Training, and Administration

  • Develop job descriptions, recruit candidates, interview and screen applicants, conduct reference and background checks, and negotiate compensation packages
  • Plan and review compensation actions
  • Maintain safe and healthy work environments by establishing, following, and enforcing standards and procedures; comply with legal regulation
  • Procure, deliver, and track all company-issued IT equipment and other property issued to employees both in the office and working remotely
  • Oversee stock option agreement issuance and cap table management software administration (together with CEO and legal team)

Accounting, Financial Planning, and Reporting

  • Support accounting team with day-to-day bookkeeping, monthly account reconciliation, and report generation
  • Oversee and support accounting team with biweekly payroll administration
  • Forecast financial requirements, prepare annual budget with CEO, schedule expenditures, analyze variances, and initiate corrective actions
  • Prepare financial, operational, and HR reports for quarterly board meetings
  • Track grant-funded projects and develop detailed invoices for funders, including required cost-share reporting and documentation

Order Fulfillment, Purchasing, Inventory Management, and Shipping

  • Forecast, purchase, and manage hardware inventory in office and at warehouse
  • Ship and track hardware orders to customers directly from EVmatch or the hardware manufacturer
  • Oversee fulfillment process for all hardware and software orders placed on EVmatch’s ecommerce site and by company sales reps
  • Track and manage EVmatch’s EV chargers’ serial numbers labeling process, collaborating with the product, marketing, and sales teams

Travel Planning and Assistance to CEO

  • Plan and book business travel and accommodations for CEO and other staff
  • Provide organizational, travel, and logistical support for team participation at tradeshows and conferences
  • Assist CEO with meeting scheduling, including with board members and investors (current and prospective)
  • Support CEO with Board Meeting preparations, including pre-meeting memo development, report gathering, and compilation

Organizational Systems Development, Analysis, and Evaluation

  • Oversee and manage company communications and organizational platforms and tools, including but not limited to Slack, Google Suite, HubSpot, Trello, GitHub, and MailChimp; provide and update user access controls and credentials as appropriate
  • Evaluate existing financial, sales, and fulfillment practices and procedures; develop and implement improvements
  • Analyze core business processes and assist team leads in developing efficiency improvements for continued growth and scalability

Contract Development, Review, and Management

  • Strategic commercial contract review, organization, and auditing
  • Contract tracking and evaluation to ensure compliance, billing/payments accuracy, and risk management

Insurance Management and Vendor Set-up

  • Renew business insurance and update additionally insured certificates for customer and partners as needed
  • Research and receive quotes for additional insurance policies as required
  • Enroll EVmatch as a new vendor for invoice processing with new customer accounts

Required Skills

  • BA/BS in business administration, operations management, finance, statistics, or other relevant field, or comparable skill development demonstrated by progressive professional growth in related field
  • 5+ years of professional experience managing or leading operations, human resources, finance, and/or customer service
  • Excellent leadership and executive decision-making skills
  • Experience directly or indirectly recruiting, hiring, and managing staff
  • Knowledge of critical HR concepts, legal, and regulatory requirements
  • Highly organized and detail-oriented
  • Excellent written and verbal communication skills
  • Understanding of policy, planning, and strategy
  • Ability to oversee budgeting, reporting, planning, and auditing
  • Creative problem solver with a can-do attitude
  • Results-driven with a focus on measuring and achieving KPIs that drive business growth
  • Exceptional spreadsheet development skills, including model and forecast development
  • Excellent computer skills and knowledge of a variety of computer software platforms and tools including:
    • Microsoft Office: Excel, Word, and PowerPoint
    • HR payroll and administrative software (e.g. TriNet, ADP, Gusto, Paychex)
    • Accounting/bookkeeping software (e.g. QuickBooks)
    • Marketing and CRM software (e.g. Hubspot)
    • Google Suite, including Gmail, Google Calendar, Google Drive, Google Meet, and Google Voice
    • File sharing systems such as Google Drive and Dropbox
  • Valid driver’s license
  • Ability to lift 25 lbs

Preferred Skills

  • Industry experience in clean energy, electric vehicle, mobility industry
  • Experience growing digital SaaS, marketplace, or ecommerce businesses
  • Past startup experience
  • Experience using cap table management software (e.g. Carta, Shareworks, etc.)
  • Contract and employment law knowledge and experience
  • Proficiency in R and Rstudio
