Job Description

Climate Arc has an ambitious strategy and will be growing at pace in 2023. We are now hiring for an Operations Associate to ensure operations are carried out in an appropriate, cost-effective way. The Operations Team at Arc will have a customer-service focused approach to supporting the external facing teams and enabling them to do their best work. This means systems, processes and policies help not hinder. The Operations Team are the backbone of Arc and ensure the organization functions seamlessly.

The below list is a lot, and we fully expect to expand the team in line with the growth of the organization. In addition, there are areas that are likely to need more time and capacity than others and also areas that will likely grow e.g. IT or knowledge and information management. If you have a particular interest in an area, there could be the possibility of creating a specialised role as the organisation expands, but this will be on a needs basis.

What you will do

  • Support the design, implementation and continuous improvement of operational management systems, policies and processes
  • Support management of IT and systems including:
    • Liaison with Arc’s IT support vendor
    • Procure and maintain fit for purpose hardware
    • Maximize the use of existing software information management and knowledge sharing software (MSOffice, NimbleCRM)
    • Maintain accounts for software including Kumu, Miro, Adobe, Zoom etc.
    • Research, procure and implement additional software as required e.g. project management
  • Support procurement processes for services and goods as well as consultant and vendor contracts
  • Support finance administration including invoice processing; company expense and credit card reconciliation
  • Support funding proposal preparation and reporting for Arc’s own fundraising efforts as well as grantee administration
  • Provide support to the team including in person and virtual meeting logistics; internal and external events; and making travel arrangements
  • Design and implement Arc’s carbon footprint monitoring and reduction plan
  • Other administrative and operational tasks as required

Requirements

  • You are passionate about Arc’s mission, vision & values
  • You have proven experience working across some or all facets of Business Operations
  • You are comfortable working in a start-up environment and conducting your own research to design and implement policies and practices from scratch
  • You have knowledge of organizational effectiveness and operations management
  • You are familiar with best practice business and financial principles
  • You have excellent communication skills
  • You have outstanding organisational skills including time and project management
  • You have excellent IT skills including MS Office
  • You are fluent in written and spoken English

Location

The majority of the team are currently based in the UK and we have an office in London that is available for the team to use but is completely optional. This position can be UK or Europe based and we will use an Employer on Record to employ the successful candidate in their home country.

Remuneration

Depending on experience and demonstrated capability, the salary range for this role in the UK is £40,000 - £60,000. For other locations, we will set the salary in line with our compensation structure compared to similar roles in similar organizations within that particular geography.
