Green Path Strategies (GPS) is a specialized strategic, integrated communications firm with a range of clients working in the fields of energy and the environment. Clients include professional associations, non-profits, and private companies. We are seeking an Association Manager to support our client, New England Women in Energy and the Environment (NEWIEE).
NEWIEE is a section 501(c)(3) nonprofit, membership-based organization founded in 2008 committed to supporting the professional development and advancement of women and other underrepresented voices in the energy and environmental fields. Its mission is centered on cultivating a vibrant community of energy and environmental professionals of all backgrounds, levels, and sectors across New England and challenging the industry to achieve greater diversity, equity, and inclusion (DEI). NEWIEE is governed by an all-volunteer, working board of directors comprised of energy and environmental professionals. Membership consists of individual and organizational members representing many of the region’s largest utilities, developers, energy and environmental consulting and law firms, educational institutions, and government agencies.
Services Description
GPS has provided Association Management consulting services for NEWIEE since early 2022. GPS is seeking an Association Manager to support NEWIEE up to twenty-four (24) hours per week. Specifically, we are seeking an experienced candidate to provide executive management and administrative services for event, membership, financial, fundraising, administrative, and governance needs essential to NEWIEE’s ability to deliver on its mission and core strategies and priorities.
The Association Manager will be employed by and report to GPS. The position is based in Wakefield, Massachusetts (accessible by MBTA Bus 137, free parking) with an expectation of regular, in-office presence to optimize collaboration and learning. Remote and flexible hours will be considered based on candidate and client needs. Compensation will be based on hours worked at a rate commensurate with experience. No additional benefits anticipated.
Responsibilities and Duties
- Support strategic initiatives and tasks to advance organizational goals and execute priorities
- Attend & support virtual and in-person NEWIEE events, administer & manage event software accounts (i.e. EventBrite, Zoom), work closely with staff to provide resources needed for external outreach/promotion, provide administrative support before, during, and after events
- Attend virtual NEWIEE committee meetings and support committee leadership with strategic needs, scheduling and development of materials
- Provide membership support to execute strategies for retention, recruitment, cultivation, and onboarding of new individual and organizational members
- Serve as main point of contact for new and existing members and sponsors while maintaining membership database and ensuring all benefits are being accurately represented
- Provide financial support in coordination with NEWIEE’s accountant and Treasurer, including creating membership and sponsorship invoices, assisting in the collection of outstanding accounts receivable, recording lock box receipts, delivering tax letters for signature events, supporting financial reporting, and serving as a liaison to the tax auditor
- Provide administrative services to support the day-to-day needs of NEWIEE, including monitoring the NEWIEE inbox, addressing membership and administrative inquiries, and elevating issues to the board of directors as necessary
- Provide support to NEWIEE President, Treasurer, and Secretary for state regulatory filings and other reporting requirements
- NEWIEE file management (via OneDrive) and assist the board of directors with file maintenance and document retention
- Schedule and attend regular check-in calls with NEWIEE leadership
Qualifications
- Minimum of three years association management experience
- Experience providing association management services to non-profits preferred
- Excellent interpersonal, communication, and customer service skills with the ability to manage members, sponsors, volunteers, and partners of an organization in a timely manner
- Superior organizational and time management skills with the ability to work collaboratively and effectively with GPS staff and NEWIEE’s board of directors
- Creative and strategic thinking skills consistent with and supportive of the organization’s mission and goals
- Experience planning and administering virtual and in-person events, including venue and sponsor coordination, developing runs of show and day-of logistical support
- Proficiency in Microsoft Office applications (e.g., Word, Excel, and PowerPoint), document management (e.g. OneDrive), membership database software (e.g., NEON CRM), virtual event platforms (e.g., Zoom), accounting software (e.g. QuickBooks), and event registration applications (e.g., Eventbrite)
- Familiarity with budgets and/or other financial activities
- Interest in advancing women and expanding DEI in a competitive industry
- Experience in the fields of energy and/or environment a plus
