Blue Crab Strategies is seeking an experienced and strategic Executive Assistant to provide crucial support to our CEO and Executive Team, reporting to our Chief of Staff. This role requires exceptional organizational skills, the ability to manage complex administrative tasks across internal and client needs, and a proactive approach to supporting the strategic initiatives of our organization.

Objectives for this position:

  • Act as a key partner to the CEO and Executive Team, particularly in ensuring they’re most effectively managing client and leadership priorities.
  • Streamline organizational growth by maintaining effective systems and processes aligned with our mission.

Responsibilities:

1. Leadership Support

    • Partner with the CEO and Executive Team to manage day-to-day processes, logistics, and priority management.
    • Manage executives’ calendar and coordinate meetings, ensuring efficient use of time and resources.
    • Draft selected communications on behalf of the CEO, maintaining accuracy and professionalism.
    • Handle confidential information with discretion and professionalism.

2. Process, Workflow, and Administrative Management

    • Liaise between the CEO, executive, and broader team to ensure consistent communication and alignment on key initiatives.
    • Coordinate high-level internal and external meetings, including but not limited to agendas, notes logistics, and post-meeting follow-up.
    • Support selected projects and initiatives directed by the Executive Team, managing timelines, budgets, and deliverables.
    • Support workflows and systems management and optimization to enhance organizational efficiency and scalability.
    • Manage client contracts, billing processes, and inquiries, ensuring accurate and timely responses, in partnership with the Chief of Staff
    • Oversee administrative functions for the Executive Team, including budget monitoring, HR coordination, and IT systems management.

Required Qualifications:

  • 3+ years of experience as an Executive Assistant or in a similar role, preferably supporting senior executives in a fast-paced, startup environment.
  • Extremely versatile, dedicated to efficient productivity and healthy, positive organizational culture.
  • A good listener who can be both empathetic and pragmatic showing attention to detail, patience, and flexibility
  • Highly organized and process-oriented with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent written and verbal communication skills, with the ability to interact confidently and professionally with stakeholders at all levels.
  • Proven ability to maintain confidentiality and handle sensitive information appropriately.
  • Proficiency in GSuite (GMail, GCal, GDrive,) and MS Office Suite (Word, Excel, PowerPoint).  
  • A willingness to travel as required.
  • Able to work in Eastern US time zone, and based in US Eastern or Central time.

Nice to Have:

  • Familiarity with Salesforce or other CRM systems.
  • Event planning and management experience.
  • Understanding of the companies, organizations, and political players in the climate or philanthropic landscape.
  • Located in the DC Metro Area.

Salary: Competitive salary based on experience, ranging from $60,000 to $70,000 annually.

Target start date: August 2024
