The primary responsibilities for this role will focus on invoice and expense processing, compliance reviews and policy enforcement, and corporate card and travel reconciliation. This position reports to the Accounts Payable Manager.  This is a hybrid position based in our San Francisco, CA office.

Responsibilities  

Accounts Payable Processing (85%)

  • Review and process invoices, ensuring accurate coding and compliance with policies
  • Analyze payments in comparison to contracts database, and support disbursements to vendors 
  • Onboard new vendors to Earthjustice’s financial platforms, obtaining necessary documentation (W-9, remittance, etc.) 
  • Serve as key contact for vendors regarding outstanding payments 
  • Manage and monitor rent schedules for accurate and timely payments 
  • Prepare vendor 1099 forms 
  • Process employee expense reports in Concur  
  • Prepare and file annual property taxes  Manage tax exemption requirements and schedules and submit applications 

Accounting & Compliance (15%)

  • Maintain vendor database and related documentation, including monthly compliance reviews of new vendors 
  • Support reconciliation process for Accounts Payable and cash disbursements 
  • Validate accurate data transfer between payables and accounting platforms 
  • Monitor AP Aging report and ensure accurate posting of vendor credits and refunds 
  • Reconcile corporate card transactions 
  • Reconcile corporate account travel transactions 
  • Monitor policy adherence for T&E and corporate card expenditures 
  • Assist with internal and external audit requests, system or policy implementations, and other projects or duties as assigned 

Qualifications 

  • Bachelor’s degree in a relevant field plus 3-5 years of Accounts Payable experience, or equivalent work experience 
  • Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations, and actively contributes to a positive and inclusive workplace for all 
  • Working knowledge of GAAP  Experience in AP and expense report processing  
  • Experienced in financial and analytical technologies, payment processing platforms, etc. (Concur, Netsuite, and Bill.com experience a plus but not required) 
  • Detail-oriented and organized, yet flexible to meet changing needs 
  • Capable of independent, solutions-oriented critical thinking 
  • Able to effectively communicate with a wide variety of audiences, converting complex and technical principles into an understandable format 

Salary is based on location and experience.   
Salary range in San Francisco, CA: $83,400 - $92,700
