Job Summary

The Senior People Operations Generalist role is a highly skilled professional who is responsible for addressing complex organizational challenges. Reporting to the People Operations Director, this role involves various functional areas, including benefits, leave of absence, immigration administration. 

Responsibilities

  • Administration of employee benefits
    • Administer employee benefits programs, including health, dental, vision, life, disability, FSA, COBRA, voluntary work site benefits and wellness initiatives.
    • Analyze and assess current programs to ensure they are competitive.
    • Stay up to date on industry trends and best practices in benefits administration.
    • Manage filing of benefit tax returns, reporting requirement and required audits (including 5500, ACA reporting, ERISA wrap).
    • Manage relationships with benefit providers and vendors.
    • Management of employee medical files and communication to managers and employees.
    • Facilitate resolution of escalated issues related to benefits.
  • Administration of leave and workers compensation programs
    • Administer leave of absence process and policies for employees including time off, FMLA, ADA, STD, LTD, PFL, CFRA, parental, military and other leaves.
    • Collaborate closely with People Operation Managers and managers of employees to support absence management and return to work processes, including analyzing reasonable accommodations and assisting employees’ transition back to work.
    • Serves as subject matter expert on leave of absences.
    • Ensure compliance of leave programs with internal policies and regulatory requirements.
    • Payroll calculations for leaves.
    • Facilitate the submission and follow-up of workers’ compensation claims to ensure timely processing.
    • Coordinate with EH&S and medical providers on required documentation and medical releases.
    • Work with workers’ compensation carrier and attorneys (if necessary) to ensure effective claim facilitation and resolution.
  • Administration of immigration programs
    • Support the immigration program for foreign national employees, including visa applications, work authorizations, renewals, and green card applications.
    • Provide guidance and support to employees, managers, and recruiters regarding immigration processes, sponsorship, requirements, and timelines.
    • Support immigration-related inquiries and issues, addressing concerns and providing timely updates to relevant stakeholders
    • Develop and maintain immigration policies, procedures, and documentation to ensure consistency and accuracy.
    • Manage relationships with external vendors and immigration attorneys to facilitate efficient visa processing and resolve any issues.
    • Conduct regular audits and reviews of immigration records to ensure accuracy and compliance with company policies and regulatory requirements.
    • Collaborate with cross-functional teams to address immigration-related challenges and develop solutions.
  • Administration of the Safeguards and Security program
    • Manage the protection of classified and controlled unclassified information through vigorous information protection programs in collaboration with selected vendor
    • Manage background checks, maintain confidential files, facilitate DOE required pre-employment screening and testing in collaboration with Talent Acquisition
    • Maintain confidentiality associated employment related documents
    • Maintain compliance with all DOE requirements
  • Perform other responsibilities as needed

Qualifications

  • Bachelor’s degree and 7+ years of experience human resources/people operations role
  • Proven strong foundation and knowledge of principles & practice of HR including federal and state employment law & compliance requirements
  • Ability to manage multiple projects concurrently
  • Effective verbal and written communication skills
  • Strong collaboration skills within a team.
  • Quick and efficient problem-solving abilities.
  • Prioritizes and ensures safety of one self and others
  • Proactive in collecting, managing and transferring knowledge.
  • Innovative in creating efficiencies for solving problems and challenges.
