Our Academy is a collaborative arena for lifelong learning, helping to build critical capabilities for innovation and transformation. We are training the next generation of urban mobility practitioners, needed by the urban mobility ecosystem of the future. Our programmes are intersectoral, interdisciplinary, international, and entrepreneurial. Within the EIT Urban Mobility Academy, there are four main areas: the Master School, the Doctoral Training Network, the Education Capacity Building, and the Competence Hub (Professional School).

About the job


The Business Process Officer will report to the Academy Programme Manager, responsible for the Academic programmes area. He/she will play a pivotal role in ensuring, maintaining, documenting, and improving the quality processes for our education programmes, in line with the EIT Label standards and requirements. The EIT Label is the EIT certificate of quality that is awarded only to excellent educational programmes. He/she is expected to guide the labelling of our courses and programmes, by supporting our partners and course providers complete the EIT Urban Mobility quality control process, in close coordination with colleagues in the Academy´s Competence Hub and Academic programmes areas. He/she is expected to perform regular monitoring and reporting tasks on the implementation of our EIT labelled portfolio and carry out periodic reviews of our quality control process, making suggestions for improving and developing it further.


Main tasks and responsibilities include:

 

Process implementation and further development

 

  • Drafting and keeping up to date a list of our EIT labelled courses and programmes and their different timelines in the quality control process.
  • Managing the pool of external reviewers, including launching procurement processes to increase and/or renew this pool, and coordinating with our legal and finance teams for contracts and payments of external experts.
  • Coordinating the external reviews of our courses and programmes with colleagues from the Academy and the external reviewers, also briefing the external reviewers about our portfolio and quality control process and criteria.
  • Supporting partners and providers in completing the different steps of our quality control process, in close coordination with colleagues from the Academy. This includes providing expert guidance and training about our quality criteria and requirements, the quality control process, and the platform we developed and use for the labelling of our courses and programmes.   
  • Ensuring compliance with the requirements laid down by the EIT Label and that those are adhered to by the different actors involved in our labelled portfolio. When required, producing manuals with instructions, templates, and examples documenting the different steps in the process
  • Working with the Academy colleagues and quality assurance consultants to further develop our quality control process and implement relevant changes based on lessons learned from the pilot phase, as well as user and expert feedback. Lead on this process, defining and controlling timelines and workplan, managing the different stakeholders involved and ensuring progress against plan.
  • Ensuring that the labelling platform and process related documentation is up to date, in line with the latest developments in the process. When needed, arrange external support to make sure this is done and plan the platform testing strategy and schedule, and support with deployment.
  • Monitoring the platform performance, coordinating with IT to help with troubleshoot issues and ensure high availability. Arrange technical support to team members, partners, providers, and external reviewers on platform related issues.
  • Managing the labelling platform, guaranteeing that course related documentation is uploaded in line with the deadlines of the different steps in our quality control process and that it is aligned with requirements of our quality criteria. Ensuring that documentation is made available to external reviewers according to the timelines agreed for external reviews.   

 

Monitoring, reporting and analysis

 

  • Monitoring the results of external reviews, documenting the courses and programmes that obtain the EIT Label. Collecting and maintaining evidence for qualitative and quantitative reporting of our EIT labelled portfolio, including KPIs.
  • Analysing and evaluating data and using it to enhance efficiency, as well as to support in strategic assessments of how to improve target achievement.
  • Monitoring the effectiveness of the process implemented, supporting with process review and self-evaluation, and preparing relevant reports.
  • Proactively develop an understanding of the feedback provided by external reviewers, identifying weak points and common mistakes to assist partners and course providers and better improve our course portfolio.
  • When required, identifying, and presenting a development plan with measures for improvement and efficiency enhancements responding to specific shortcomings identified and recommendations.
  • Keeping a timeline of our EIT Label reporting obligations to EIT, coordinating with the relevant team members for the drafting, reviews, and submissions of specific reports, applications for new EIT labelled programmes and responses to evaluators´ questions. When required, attending hearings to discuss EIT Label applications´ progress.
  • Drafting status reports, covering both quantitative and qualitative information of our EIT labelled courses and programmes. Ensuring evidence documentation is available and/or can be collected for the different reporting requirements.
  • Suggesting ways for better linking our quality control process with our internal and external reporting obligations to drive efficiency.


Contributing to the development of the EIT Urban Mobility Academy

 

  • Supporting the execution of the relevant administrative tasks and procedures needed to deliver on the Academy EIT labelled portfolio.
  • Ensuring optimal synergies between segments of the EIT Urban Mobility Academy, the rest of EIT Urban Mobility, and the EIT Community.
  • Contributing to the communication and marketing actions of our EIT labelled portfolio.
  • Supporting the Academy Programme Manager, Heads of Segments and Academy Director in their reporting activities to EIT.

Must-have:


        • 3+ years of working experience in business processes in education, preferably in a business school or university environment.
        • 3+ years of working experience in coordinating international, multi-stakeholder projects, preferably in education and at EU-level.
        • Master’s degree in business administration, quality, logistics, processes, or equivalent training or working experience.
        • Written and spoken English (C1)
        • Strong understanding of quality management principles and practices.
        • Committed, proactive, accurate and respect of timelines and deadlines.
        • Team player who can work independently.
        • Strong organizational and administrative skills.
        • Prioritization and problem-solving skills to manage the (sometimes) conflicting interests, priorities, and expectations of different target groups.
        • Strong IT and digital skills, preferrable including experience from development and implementation of IT support tools and processes.
        • Proven experience with system administration and technical support.
        • Professional use of MS Office (Excel, Teams, SharePoint). 


            Nice-to-have:

             

            • Any additional EU language is a plus.
            • Experience in quality assurance in an academic and/or professional training.
            • Experience in carrying out internal and/or external audits of quality processes in education in a business school, university and/or consultancy environment will be positively assessed.
