Job Description

Reporting to the Project Manager, this position is responsible for supporting the Project Management Office in the delivery of a master project consisting of a high volume of short program, quick turn-around projects. Multiple TOMRA Reverse Vending Machines are to be assessed and installed throughout Tasmania, to critical deadlines whilst ensuring compliance requirements are met.
The Project Coordinators are responsible for creating, maintaining, and updating project documentation, monitoring project progress and co-ordinating communications to the wider project team. The position will play a key role in assessing proposed sites for safety, functionality and certifying that they meet the correct site requirements for business needs and for building certification. Assessment activities include, but are not limited to, assisting Audit Team with compiling site reports, contributing to budget forecasts and seeking approval from critical stakeholders.
A key element of this role is stakeholder management, including, liaising with vendors, contractors, local councils, consultants, the internal sales team, and other internal stakeholders within the Service department. The Project Coordinators will also assist the Project Manager by providing on the ground support with the progression of projects and mobilisation of installations.

Some other activities you may perform as a Project Coordinator:
- Create project reports and completing relevant documents for installation process
- Conduct site visits/audits to assess suitability of leads received from the Sales Team and advise what is required to enable installation
- Ensure all site proposals, audit packs and site packs are circulated and reviewed in a timely manner, whilst providing feedback to the wider project installation team
- Collation of all project documentation including, but not limited to, site plans, scope of works briefs, safety documents (eg SWMS, insurances, site work documentation, inductions) etc
- Effective site documentation handover to the business from PMO for launch of the sites
- Contractor Management – obtaining all documentation required by the business and stakeholders for engagement with contractors
- Obtain all on site induction requirements from Landlords/Centre Management and ensure these are obtained from all contractors ahead of works starting
- Coordination of project updates to wider project team
- Ensuring shared Project Management software is kept up to date to provide transparency and regular communications with other teams
- Assist the Project Team in solving technical and non-technical problems throughout the life of the project
- Effectively and professionally foster positive relationships with internal and external stakeholders
- Assist in managing contractors to ensure they are working safely, efficiently and to budget
- Perform additional tasks as reasonably requested by the PMO
