What will you do in this role? 

As an office assistant, you will support our daily operations in our office in Warsaw. You will report to the Office Manager and collaborate closely with Facilities and Supply Chain functions. In this role you will: 

  • Help with day-to-day office operations, ensuring that everything in our office is functioning smoothly 
  • Oversee tasks including office supplies, groceries & equipment maintenance
  • Keep our conference rooms in order and tidy 
  • Assist in the organisation of internal company events and meetings
  • Cooperate with technical and cleaning service
  • Guide and escort vendors and guests when they are visiting the office
  • Support different departments with various tasks as needed related to the office environment (e.g. support in the organization of team workshops)
  • Act as a point of contact for employees regarding office-related inquiries and concerns (e.g. how to move around the office, how to book a meeting room etc)
  • Maintain a flexible schedule to address unforeseen issues and accommodate various office needs within working hours
  • Utilise strong multitasking abilities to efficiently prioritize tasks and manage competing demands
  • Demonstrate excellent people skills in interactions with colleagues, vendors, and visitors, fostering positive relationships and a productive work environment

Requirements

What will you need to be successful in this role?

  • Previous experience in administrative roles, preferably within a multinational setting
  • Strong communication and interpersonal skills, with the ability to engage effectively across all levels of the organization
  • Demonstrated flexibility and adaptability in handling diverse office challenges and shifting priorities
  • Excellent organizational abilities with a keen eye for detail, ensuring tasks are completed thoroughly and accurately
  • Proficiency in Polish, both written and spoken
  • Proficiency in English, both spoken and written

  • Base salary range for this position is 7500-8500 PLN per month (gross) contingent on your experience level, and will be negotiated individually.
