Carba has created the most efficient, scalable, and cost-effective way to turn back the clock and mitigate the worst effects of climate change by permanently removing billions of tons of carbon dioxide from the atmosphere. We have developed a technology that makes slow pyrolysis fast, turning waste biomass into stable charcoal (solid carbon) which can be buried for permanent carbon sequestration, used in materials to replace fossil use, or used as a soil amendment.
We are looking for an exceptional Office Manager/Executive Assistant to support Carba's CEO and leadership team. The role will focus on managing the CEO's calendar and tasks, providing general office support, and ensuring smooth office operations and administration. The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a fast-paced startup environment. This role will report directly to Carba's CEO.
Objectives and Responsibilities:
● CEO Support
○ Manage CEO's calendar, including scheduling meetings, appointments, and travel
○ Prioritize and manage CEO's task list and ensure timely follow-up
○ Draft correspondence and presentations on behalf of the CEO
○ Serve as liaison between the CEO and internal/external stakeholders
● Office Management
○ Oversee day-to-day office operations and maintain a professional office
environment
○ Manage office supplies inventory and place orders as necessary
○ Liaise with building management and external vendors
○ Greet visitors and manage the reception area
○ Answer and direct phone calls
○ Maintain office equipment and coordinate repairs as needed
● Administration & Organization
○ Assist with employee onboarding and offboarding processes
○ Maintain employee records and files
○ Coordinate team events, meetings, and off-sites
○ Manage incoming and outgoing mail and deliveries
○ Assist with expense reporting and invoice processing
○ Other administrative duties as assigned
○ Optional: support HR and accounting if applicable
Qualifications:
● Bachelor's degree preferred
● 3+ years of experience in an office management or executive support role
● Exceptional organizational and time management skills
● Strong written and verbal communication skills
● High level of discretion and confidentiality
● Proficiency with Google Suite, Microsoft Office, and other productivity tools
● Comfortable working in a fast-paced, dynamic startup environment
● Positive attitude and strong interpersonal skills
● Able to anticipate needs and proactively solve problems
● Eager to contribute to Carba's mission of fighting climate change
This position is on-site in the Eden Prairie area of Minneapolis.
