ABOUT THIS ROLE 

The Human Resources Specialist at Quantis US will provide essential support for the HR function, focusing on administrative tasks in benefits, recruitment, and onboarding to ensure smooth HR operations and a positive employee experience. Reporting to the HR Manager, the Specialist will assist with candidate screening, new hire processing, benefits administration, and record-keeping. This role does not have direct reports and will collaborate closely with the HR Manager and US Talent & Operations Lead to support broader HR initiatives, contributing to a seamless and engaging workplace environment for all team members.

RESPONSIBILITIES 

As a Human Resources Specialist, here’s a preview of the type of work your days will include:  

 

General HR Support (50%) 

This role is a great way to learn about the essentials of Human Resources administration. Some of these tasks could include: 

  • Benefits Administration: Assisting with benefits enrollment, answering employee questions about benefits, and liaising with providers. 
  • Leave Management: Administering leave policies, tracking leaves of absence, and coordinating with employees and management. 
  • Employee Data Management: Maintaining and updating employee records, databases, and HR systems (Workday, Rippling) with accurate information. 

 

Recruiting (40%) 

We desire a candidate with the enthusiasm for recruitment. Supporting the Quantis US Recruitment activities by managing the process for open roles through: 

  • Job Posting Management: Creating and posting job ads 
  • Applicant Tracking: Tracking and managing applicants on our applicant tracking system (Workable), ensuring candidates are updated at each stage of the recruitment process. 
  • Recruiter screens: Reviewing CVs and conducting the first round of interviews to check background, motivation, logistics and to answer initial candidate questions 
  • Interview Coordination: Organizing interview schedules between candidates and hiring managers, sending confirmations, and managing logistics. 
  • Candidate Communication: Acting as the main point of contact for candidates, managing communication, and providing updates. 
  • Background Checks: Coordinating background checks, reference checks, and verifying employment eligibility. 
  • Managing the offer process: Coordinating the process with the Talent & Operations Lead and Managing Director and extending the offers 

 

Onboarding Facilitation (10%) 

Working alongside the HR Manager and US Talent & Operations Lead to manage and improve our local onboarding procedures. This may include:  

  • System Setup: Coordinating with IT and other departments to set up email accounts, access credentials, and necessary hardware/software. 
  • Training Coordination: Scheduling and managing initial training sessions for new hires, such as company policies, job duties, and safety. 
  • Onboarding Support: Acting as a point of contact for new hires during their onboarding period to answer questions and assist with integration. 

 

Ad-Hoc Activities (occasional) 

We are a small team who like to have fun and know no task is too small. The right candidate brings ideas to the table beyond the below: 

  • Event Coordination: Planning and executing employee events, such as team-building activities, recognition ceremonies, and holiday celebrations. 
  • Special Initiatives: Contributing to development of diversity, equity, and inclusion programs, or wellness initiatives. 
  • Policy Development: Assisting in the development or revision of HR policies based on evolving needs and feedback. 

REQUIREMENTS 

  • 3+ years in HR administration and recruiting (internship experience included) 
  • Strong organizational skills, detail-orientation, and excellent communication skills. 
  • Proficient in Microsoft Office suite. 
  • Bachelor’s degree required. 
  • US work authorization required. 
  • Workday experience a plus.

Quantis has a distinctive, fluid structure nurtured by our Quantis Spirit and our way of collaborating that provides a positive and unique working environment. The compensation target for this role ranges from $70,000/year-$80,000/year
