The Senior Executive Assistant plays a critical role in ensuring the Leadership team’s time and focus are optimized, enabling them to lead the company effectively and efficiently. This role is to support the CEO, COO, and CFO of the Company. This role requires exceptional communication and multitasking skills, capable of managing administrative responsibilities in a fast-paced environment, and interfacing with various departments and company leaders. 

Responsibilities

  • Administrative Support

    • Manage calendars, including scheduling meetings, appointments, and travel arrangements.

    • Be proactive in anticipating upcoming events and arrangements that are required.

    • Handle confidential and sensitive information with the utmost discretion. 

    • Prepare and coordinate the signing of documents, contracts, and agreements, ensuring accuracy and compliance with deadlines. Liaise with finance, legal and other departments to facilitate the review and approval process. 

    • Maintain an organized filing system for storing and tracing signed documents. 

  • Meeting Coordination

    • Serve as a liaison between the CEO, COO, and CFO, and internal/external stakeholders.

    • Organize and prepare for meetings, ensuring all required materials are ready. Examples include assisting on customer and investor meetings. 

    • Assist in prioritizing incoming requests, meetings, and events to ensure time is used efficiently. Be proactive to ensure all items are responded to in a timely manner.

  • Travel and Event Management

    • Plan and coordinate travel itineraries, ensuring all logistic arrangements are seamless.

    • Organize and oversee company events, including leadership offsites and Company wide events, including holiday parties.

  • Supporting Company Culture

    • Act as an ambassador for the Leadership Team, embodying and promoting the company’s core values and mission. 

    • Plan and organize team-building events and cultural initiatives. 

    • Help maintain a positive and inclusive culture by supporting internal communications. 

Qualifications

  • 5+ years of experience as an Executive Assistant, preferably within a publicly traded technology company.

  • Bachelor’s degree, preferably in Business Administration, Communications, or a related field.

  • Strong written and verbal communication skills.

  • Exceptional organizational and time-management abilities. 

  • Ability to multitask, prioritize, and adapt to shifting priorities.
