A JOB THAT INSPIRES YOU As Project Administrator, you are responsible for administration and monitoring the contractual aspects of the projects in your portfolio. You will work closely with the project teams and the financial controllers and report to the Commercial Director of the Division. Key Responsibilities: Project contractual administration<ul><li>You will draft, prepare, coordinate signature and ensure proper filing of expert and project staff Service Agreements and addenda under the guidance and instructions of the Project Managers.</li><li>You will draft, prepare, coordinate signature and ensure proper filing of Service Provider and Sub-contractors’ Service Agreements and addenda under the guidance and instructions of the Project Managers.</li></ul>Project administration<ul><li>You will create vendors and purchase orders based on financial agreements provided by Project Managers and you will follow-up the approval procedures.</li><li>You will submit and allocate project cost invoices based on signed service contracts and timesheets.</li><li>You will follow-up on payments.</li><li>You will report any potential issues you identify to the Project Manager in a timely manner and propose effective solutions.</li></ul>Project documents administration <ul><li>You will administrate project documentation and store required files on company server.</li><li>You will support the project managers and financial controllers in the preparation of audit documentation. </li></ul>Compliance <ul><li>You will ensure Compliance requirements are met for all the projects in your portfolio, in close collaboration with the Project Managers and the Compliance Officer. </li><li>You will have close collaboration with Financial Controllers and Project Managers</li><li>You will ensure that GOPA Procedures are strictly adhere to at each step of the process you will initiate. </li></ul> A BACKGROUND THAT CONVINCES US <ul><li>You have a first experience in office or business administration,</li><li>You hold a university degree ( Business, Law , Finances or similar).</li><li>You have a genuine interest in GOPA’s mission and recognise yourself in our values: honesty, empathy, professionalism, and dynamism.</li><li>You are comfortable using new software and you have excellent knowledge of the MS Office suit, in particular Excel.</li><li>You have excellent communication skills in English and French (preferably) , both verbal and written.
