ERM is seeking an experienced, hands-on Office Manager to provide high-quality administrative management for ERM’s 150+-person office in New York, NY and the Great Lakes Northeast Business Unit. We are seeking an organized administrative professional with a proven track record in successful office management to apply self-initiative, positive team attitude, and technical quality and creativity to support our Area Manager and Partners and ensure the New York office operates efficiently. Also, we're looking for someone who can engage our staff. RESPONSIBILITIES:
Provide operational and administrative support to office space oversight (e.g., office organization, building maintenance issues, internal and external office/people move), and vendor/supply procurement process. Keep management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
Manage office access/security systems and processes.
Oversee office incoming/outgoing mail and Federal Express/UPS shipments.
Manage BST Enterprise (GMS) system for processing office timesheets and backup support for other business unit offices.
Supervise office activities to achieve maximum expense control and productivity.
Assist local Partners by providing Rydoo support for expenses and CWT for travel support and provide backup for business unit offices.
Assist local Health and Safety Lead with office.
Provide new hire onboarding training and be office point of contact.
Deliver high-quality document editing and formatting using ERM templates, ensuring proper organization, thorough proofreading, and an additional quality review to identify errors and inconsistencies.
Manage office operations, including building relationships with property managers and vendors (i.e., office supplies, office equipment, repair/maintenance), and review and approve supply requisitions.
Support business unit Certificate of Insurance requests.
Manage the development of and compliance with consistent procedures and policies for office activities, measuring results against standards and making necessary adjustments.
Oversee local meeting and event coordination.
Promote and drive ERM culture for local office, including health and safety, morale, and sustainability.
Liaise with our IT team on system updates, monthly calls, communication and support to local staff.
Support the Sustainability Network by collecting and manipulating North American business office data for public reporting.
REQUIREMENTS:
7+ years of administrative, project management, or financial experience in a professional services/consulting environment preferred.
Public Notary a plus.
Excellent communication skills (both written and verbal).
Must be able to work with other employees all over the globe.
Strong computer skills, including MS Office (Word, Excel, PowerPoint, Outlook, Teams and Project); and Salesforce.
Ability to work independently to manage and coordinate multiple project assignments simultaneously in a deadline-driven environment.
Detail-oriented and proactive, with strong follow-through, adaptability in agile environments, and the ability to effectively prioritize tasks.
Strong organizational, scheduling, and logistics skills.
Ability to work as part of a team and be a self-starter.
This position is not eligible for immigration sponsorship.
For the Office Manager position, we anticipate the annual base pay of $61,000 – $76,186 USD. An employee’s pay position within this range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs. We also may have instances where employee’s fall outside of the range based on the factors noted above. This job may be eligible for bonus pay (casual and fixed term/flex force employees are NOT bonus eligible).
We offer comprehensive package of benefits including paid time off, medical/dental/vision insurance, 401(k), and any other benefits to eligible employees. (Casual employees and regular employees scheduled under 20 hours a week are not benefits eligible).
