About the Job

Job title: Executive Assistant

Location: London - Hybrid

Salary: £50,000 - £55,000

Team: Executive Assistants

Reporting To: Chief of Staff to Kaluza CEO

Closing date for applications: Thursday 19th June 2025

Kaluza reimagines energy to bring net-zero within everyone’s reach. Our intelligent platform enables energy utilities to unlock the full value of a radically changing energy system and propel us to a future where renewable energy is sustainable, affordable and accessible for all.

From automating and simplifying core operations including billing to create a lower-cost, higher-engagement experience, to optimising energy usage across smart devices in the home, we turn tough challenges into win-win-win outcomes for customers, suppliers and the energy system.

We believe in the value of in-person connection and collaboration, especially in a role that works closely with senior leaders. For this position, we ask that you’re able to spend 2–3 days per week in our London office.

We also prioritise meaningful company-wide gatherings like our annual conference and end-of-year celebrations, that bring us together to align, connect, and celebrate.

What will I be doing?

We are seeking a highly organised, proactive, and commercially minded Executive Assistant to support a small group of senior leaders across our executive team—based in both the UK and US. This is a dynamic and high-trust role that will serve as a critical enabler of focus, alignment, and execution at the most senior levels of the company.

You will work closely with a mix of executives, managing their time and priorities with precision, anticipating needs, and helping ensure the wider team operates smoothly and strategically. This is a fantastic opportunity to be embedded in the heart of a mission-driven, high-growth technology business.

In this varied Executive Assistant role, you’ll:

  • Own and manage complex calendars across multiple time zones, ensuring schedules align with business priorities.
  • Serve as the primary point of contact and gatekeeper for designated executives, managing communication across internal and external stakeholders.
  • Coordinate and prepare for key meetings, leadership sessions, and offsites—handling agendas, logistics, and follow-ups.
Support communication flow between execs, teams, and the broader organisation, helping to drive clarity, coordination, and execution.
  • Partner with execs on investor and board engagement, including assistance with board materials and stakeholder correspondence.
  • Manage travel, expenses, and other logistics to enable seamless operations.
Build trusted relationships across the business and act as an ambassador on behalf of the executives you support.

About You

You’ll thrive in this role if you are confident, detail-oriented, and capable of navigating ambiguity with poise. You anticipate needs, take ownership, and bring calm, clarity, and coordination to complex environments.

Ideally you will have/be:

  • Experience supporting multiple senior executives—ideally across different time zones and functions.
  • Able to work autonomously and proactively—problem-solving before issues arise.
  • Strong commercial awareness, with the ability to understand business priorities and apply sound judgment.
  • Highly organised with exceptional attention to detail and the ability to manage competing demands.
  • Excellent communication skills, with discretion and emotional intelligence when dealing with sensitive matters.
  • Skilled at building trusted relationships and acting as a respected partner to senior stakeholders.
  • Calm under pressure, adaptable, and comfortable in a fast-paced, often changing environment.
  • A team player with a service-oriented mindset who takes pride in helping others succeed.
Ideally familiar with tech or scale-up environments and comfortable working in a hybrid model.

What will set you apart

  • You act with integrity and discretion, instinctively knowing when to protect time, when to challenge, and when to step in.
  • You’re not just reactive—you think ahead, create structure from chaos, and suggest better ways of doing things.
  • You bring a confident presence and can represent senior leaders effectively both internally and externally.
  • You’re purpose-driven and motivated by helping impactful businesses and missions succeed.
  • You bring curiosity, good judgment, and a healthy dose of common sense to everything you do.
