Headquartered in State College, PA, Phospholutions is growing their team to support the commercial launch of RhizoSorb® technology following multiple years of successful field trials, three decades of academic research, and backed by leading industry investors, with a Commercial Administrative Assistant. The location for this role is Saint Petersburg, FL or State College, PA with a hybrid work schedule (three days in office, two days at home) after orientation and onboarding is completed.

JOB OBJECTIVE

The individual hired for this position will assume ownership of and perform a diverse range of tasks, becoming an essential member of our Commercial team. Supporting, managing, and achieving critical responsibilities for our internal commercial sales and marketing teams while providing exceptional customer service to internal and external stakeholders.
 
Among other responsibilities, this position requires the knowledge, skills and ability to understand and execute the following:
  • Managing full customer lifecycle from lead generation and onboarding to delivery and post-sale support
    • Customer order support - Entering and managing orders and coordinating with customers to ensure fulfillment
    • Lead generation and onboarding – Create, track and manage leads and opportunities in our CRM (Pipedrive), ensuring data integrity and timeliness; monitor and update customer, lead and sales data for report generation and insights for leadership
    • Delivery and post-sale support – Maintain client relationships, handle inquires and process new orders, changes, modifications and/or cancellations
  • Supporting marketing efforts and events
    • First-level support for the sales team on marketing inquiries, tools and systems providing guidance and training when necessary
    • Track commercial events, coordinate related logistics and assist with event ROI financial reporting
    • Organize and manage inventory for marketing materials (product guides, one-pagers, tradeshow materials, etc.)
  • Administrative support
    • Understand, interpret and enter commercial and marketing data of sales figures, metrics, and other key data used to produce reports to support decision making
    • Support the Vice President of Sales & Marketing and the Vice President of Business Development with scheduling, meeting preparation, note taking and travel arrangements
    • Develop and manager standard operation procedures (SOPs) for sales support tasks and projects
    • Welcome and direct clients/visitors for in-office meetings and/or off-site events/shows/meetings
This role will report to our Vice President of Sales and Marketing.

EDUCATION & EXPERIENCE
  • Associate degree in business, marketing, or a related field required. Bachelor's degree in business administration, marketing, or a related field preferred
  • Minimum two years’ experience in administrative support, preferably within sales or marketing teams
  • Experience managing a CRM platform. Experience with Pipedrive is a plus
  • Experience with event coordination and financial tracking/reporting related to event coordination
  • Knowledge of sales & marketing principles is a plus

MINIMUM REQUIREMENTS 
  • Applicant must be authorized to work in the United States on a full-time, continuous basis. This company does not sponsor applicants for work visas 
  • Maintain organized documentation and filing systems relevant to sales and marketing
  • Provide administrative support to company team members when needed
  • Establish and manage relationships with internal and external stakeholders
  • Good time management skills and the ability to prioritize tasks to meet short deadlines
  • Self-motivation and drive to exceed goals while working effectively with minimal direction
  • Critical thinking, problem solving and deductive and inductive reasoning
  • Fluent in English language
  • “Day-1 Expert-level” proficiency in Microsoft Office applications (Outlook, Excel, PowerPoint, and Word)
  • Valid driver’s license and ability to travel to multiple work locations as needed
  • This position will require some travel – 10%
  • Background checks (criminal/education/employment/reference/credit/DMV) will be performed; results must be satisfactory to the company.
  • If hired, must adhere to all company policies and procedures and other prescribed best practices/industry standards 
ANNUAL PAY RANGE: $43,000 to $57,000

WORK ENVIRONMENT & PHYSICAL DEMANDS
  • The job is primarily performed indoors in a traditional office setting with prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 30 pounds
