The DORE team functions as the umbrella operational support team for ensuring overall development department’s success by providing expertise to maximize donor resources and engagement to help meet Earthjustice’s mission in this critical moment. The team remains at the forefront of innovation and prioritizes automation, simplification, and streamlining of both new and existing processes while strategically deploying AI technology, predictive analytics, and in-house data analysis solutions. The team’s efforts enhance decision-making and maximize the development department’s return on investment.

The DORE Coordinator reports to the Sr. Director and is responsible for the operational functions and systems development of the team supporting its fundraising efforts by increasing efficiency and accountability. An essential team member, the Coordinator facilitates healthy team culture through internal communications, resource development, trainings, and gatherings. The position provides administrative support and project management, coordinates all aspects of onboarding new hires, schedule management, and travel logistics; and will assist with writing and copy-editing assignments, budget tracking and maintenance, and other duties to support the team. The Coordinator will partner on team-wide projects with the Sr. Director, including annual and/or strategic planning processes and liaising with teams across the department and organization. The ideal candidate is a self-starter able to work both collaboratively and independently, with strong interpersonal skills, diplomacy and discretion, financial acumen, and the ability to adapt and think creatively.

This full-time position can be fully remote within the U.S. or on a hybrid schedule, working from home and 2-3 days per week in one of our offices.

Responsibilities:

Team Administration and Systems Management | 50%

  • Support Sr. Director oversight and execution of comprehensive project tracking of cohort and team quarterly and annual goals.

  • Provide stellar administrative and project management support to the team, including processing and tracking team correspondence; attending and taking notes for Development, organizational, and program update meetings; scheduling Sr. Director’s meetings and travel; and managing expense reports for the team.

  • Coordinate team meetings, preparing the agenda with the team leadership through proactive consultation, soliciting facilitators and openers ensuring the team is informed, sharing materials in advance and follow-ups with the team.

  • Organize and maintain project management and collaboration tools and other resources for the team to promote team collaboration.

  • Serve as the team’s point person for general information requests from internal and external sources.

  • Partner with members of other Development teams to create, implement, and refine departmental processes around data management.

  • Document policies and procedures for the team as they are developed.

  • Perform other duties and special projects as assigned and/or defined as team priorities.

  • Monitor and maintain oversight of the team’s communications and productivity tools such as MS teams, SharePoint, shared drives and Zoom.

Internal Communication, Onboarding, and Training | 25%

  • Partner with Sr. Director to plan, coordinate, and facilitate in-person and virtual gatherings for the team (annual and project planning meetings, team cultural experiences, retreats, and trainings) and manage post-event evaluation process. Serve as team point person for internal event coordination with other departments.

  • Contribute to culture building by providing logistical support for welcome lunches, birthdays, and other celebrations. Maintain the team’s calendar to ensure shared awareness of activities, celebrations, and milestones.

  • Seek opportunities and coordinate initiatives to foster and sustain healthy team culture, teambuilding, and implementation of best practices for geographically distributed team staff, in partnership with Sr. Director and cohort supervisors.

  • Coordinate onboarding and ongoing training for new and current staff, in partnership with hiring managers, HR, and IT. Maintain and update documentation and seek continuous improvement.

  • Partner with team to design and prepare monthly digest email and distribute to team to maintain consistent information flow and coordination of team projects, deadlines, and resources as needed.

  • Create and maintain a team intranet page.

Project Coordination 25%

  • In coordination with Sr. Director, coordinate annual planning processes such as Strategic Planning, Annual Metrics Review, and Budgeting.

  • Represent the team on working groups with staff from other teams to ensure the coordination and alignment of the cross-team activities and processes.

  • Utilize project management tools to improve team tracking and communication.

  • Partners with Sr. Director and team leaders to develop strategy and scope for project management.

  • Takes initiative to solve issues that arise within guidelines prior to reaching leadership.

  • Coordinates with internal and external stakeholders for departmental and team projects and serves as main point of contact for cross-departmental projects.

  • Creates annual project timelines and track next steps to ensure progress to goal.

  • Recommends and implements solutions to improve processes of annual projects.

  • Creates visualizations to summarize complex processes and projects.

  • Has latitude to make decisions about work priorities and/or methodology and to be creative.

Additional Requirements

  • Ability to work in a collaborative team environment, sharing knowledge and newly identified sources with team and leading or participating in team projects.

  • Experience with data management and prospect development.

  • Other duties as assigned.

Qualifications:

  • Bachelor’s degree or a minimum of three years’ relevant experience.

  • Strong organizational skills, including ability to handle multiple tasks, meet deadlines, and prioritize assignments.

  • Excellent verbal and written communication skills, and meticulous attention to detail, including strong proofreading and copy-editing skills.

  • Experience working with in-house design teams a plus.

  • Fundraising database management skills preferred.

  • Enthusiasm for communicating with supporters and potential supporters in person, on the phone and via e-mail.

  • Ability to maintain composure under pressure.

  • This position requires occasional extended travel, and occasional evening and weekend work.

Salaries at Earthjustice are determined by experience level and working location.
Salary range in San Francisco, CA and New York, NY: $81,700 - $90,800
Salary range in Washington, D.C., Chicago, IL, Seattle, WA, and Los Angeles, CA: $77,700 - $86,300
Salary range in Denver, CO and Philadelphia, PA : $73,600 - $81,800
Salary range in Miami, FL, Bozeman, MT, and New Orleans, LA: $69,500 - $77,200
Remote salary range will vary between depending on location: $69,500 - $90,800
