The role supports the day-to-day operational activities of the logistics and customs team, with a strong emphasis on administration, documentation handling, manual processing, and maintaining accurate records in Excel and internal systems.Key ResponsibilitiesAdministrative and Data Management<ul><li>Maintain and update shipment records, trackers, and operational files.</li><li>Process incoming and outgoing documents, including delivery notes, packing lists, invoices, and customs paperwork.</li><li>Support daily data entry activities with accuracy and attention to detail.</li><li>Prepare and update Excel spreadsheets, reports, and basic dashboards.</li><li>Organise digital and physical filing systems for logistics and customs documentation.</li></ul>Logistics Support<ul><li>Assist with booking collections and deliveries when required.</li><li>Communicate with carriers, suppliers, and internal teams to check shipment statuses.</li><li>Follow up on PODs, delivery confirmations, and discrepancies.</li><li>Support daily outbound and inbound coordination tasks.</li></ul>Customs Support<ul><li>Prepare basic documentation needed for customs clearance.</li><li>Check commercial invoices and declarations for accuracy.</li><li>Assist with maintaining compliance records for imports and exports.</li><li>Support the customs team with data checks, document validation, and internal updates.</li><li>Classification knowledge is a plus</li></ul>Operational Support<ul><li>Assist with manual admin tasks such as labelling, sorting documents, preparing files for audits, and printing pack lists.</li><li>Help maintain trackers for incidents, delays, returns, or claims.</li><li>Support purchasing or inventory teams when cross functional admin tasks are required.</li></ul><div></div>Skills and RequirementsEssential<ul><li>Strong administrative skills and high attention to detail.</li><li>Confident with Microsoft Excel (filters, pivot tables, lookups, basic formulas).</li><li>Good organisational skills with the ability to prioritise daily tasks.</li><li>Basic understanding of logistics processes (inbound, outbound, delivery stages).</li><li>Basic understanding of customs concepts (imports, exports, compliance).</li><li>Good communication skills for internal coordination and external follow ups.</li><li>Ability to work with manual tasks and repetitive processing.</li></ul>Desirable<ul><li>Experience in a logistics, warehouse, customs, or supply chain environment.</li><li>Experience working with trackers, ERP systems, or WMS platforms.</li><li>Interest in progressing into logistics, customs, or planning roles.</li></ul><h3>#LI-Hybrid</h3><h3>#LI-CY</h3>Join the global Xylem team to be a part of innovative technology solutions transforming water usage, conservation, and re-use.
