Reporting to the Chief of Staff, the ideal candidate is passionate about creating a positive and welcoming environment where our team can perform at their best. The ideal candidate is the Jill or Jack of all Trades, has a track record of wearing many hats, – and enjoys it! If you believe you are organized, self-driven, detail-oriented, passionate about planning events and projects, and capable of managing responsibilities with minimal supervision, we want to hear from you! Main Responsibilities <ul><li>Coordinate day-to-day administrative flow of office operations </li><li>Manage office supplies, services, and relocations as needed </li><li>Assist in the logistics of various internal and external engagement initiatives  </li><li>Negotiate and manage relations with hotels and travel agencies</li><li>Coordinate shipments by comparing quotes, creating commercial invoices, and following up on deliveries and creating fulfillment orders </li><li>Manage requests from import/export brokers  </li><li>Maintain office records, documentation, and databases up to date including company CMS (Contracts Management System) </li><li>Manage documentation and mail, as well as the signature process from signature to filing</li><li>Prepare communication documents for internal or external stakeholders </li><li>Be the first point of contact for all staff facilities and external contractors (custodians, cleaning services, electricians, plumbers, etc.)</li><li>Assist employees with their booking arrangements (e.g. Airbnd, flights, hotels) </li><li>Assist in the execution of Compliance projects as needed </li><li>Be the first point of contact for all staff facilities and external contractors (custodians, cleaning services, electricians, plumbers, etc.) </li></ul>Qualifications<ul><li>Minimum 5 years of relevant administrative support experience or similar</li><li>Adequate knowledge of office management systems and procedures</li><li>Tech-savvy and proficiency in Microsoft 365 (Word, Excel, PowerPoint), Outlook, Adobe Acrobat</li><li>Proficient communication skills in English, both written and verbal  </li></ul> Profile<ul><li>Entrepreneurial mindset, results-oriented, and team player spirit</li><li>Strong organizational and problem-solving skills </li><li>Autonomous, have ease in learning, communicating, and problem-solving</li><li>Handles sensitive information in a confidential manner</li><li>Excellent time management skills and the ability to prioritize work</li><li>Attention to detail </li></ul> Bonus skills<ul><li>Bilingual in French &amp; English, both written and verbal  </li></ul></div>
