This role is essential to the efficiency of our business, requiring a proactive and highly organized individual who thrives in a fast-paced, dynamic environment. The Executive Assistant will manage complex schedules, handle a wide range of administrative tasks, and perform notary public duties, such as witnessing document signings. The ideal candidate is a natural problem-solver with a positive, proactive attitude and a keen ability to prioritize and multitask. This position is well-suited for someone who values organization, works effectively under pressure, and takes pride in contributing to the success of both the executives they support and the overall organization.  ESSENTIAL FUNCTIONS AND RESPONSIBILITIES <ul><li>Provide administrative support to senior executives, including our Executive Vice President, Finance, and/or one other senior executive. </li><li>Calendar management and scheduling, accounting for day-to-day meetings, calls, and movements. </li><li>Make travel and accommodation arrangements. </li><li>Track, prepare, and submit expenses on a monthly basis for reimbursement. </li><li>Format information for internal and external communication – this may include emails, presentations, or reports. </li><li>Take minutes during meetings. </li><li>Provide backup support to other Executive Assistants. </li><li>Perform Notary Public duties as required. </li><li>Work with other team members to plan meetings and Company events. </li><li>Assist with special projects as needed. </li></ul> REQUIRED SKILLS AND QUALIFICATIONS<ul><li>5+ years of experience as an Executive Assistant. </li><li>Current Notary Public license issued by the Notary Commission of the State of California. </li><li>Excellent MS Office knowledge. </li><li>Extremely detail-oriented, outstanding organizational and time management skills. </li><li>Excellent verbal and written communication skills. </li><li>Self-motivated, proactive, and forward-thinking. </li><li>Diplomatic and tactful. </li><li>Maintain a positive attitude and willingness to work with all team members. </li><li>Willingness to go above and beyond to consistently produce excellent quality of work. </li><li>Must be able to effectively communicate with all levels of internal and external contacts. </li><li>Ability to work independently and multitask in a fast-paced team environment. </li><li>Discrete concerning confidential or sensitive information. </li></ul> #LI-Onsite<div><div><div>Avantus offers competitive compensation with an excellent benefits package, including 401(k) matching; comprehensive medical and dental plan options; and flexible PTO.
