Against this background, SNV's VN-ADAPT is looking for an experienced, highly organized and proactive Program Assistant to provide efficient administrative and logistical support for the project. The role will ensure smooth project implementation by supporting logistical arrangements, managing documentation and filing, supporting project teams in data management, supporting travel and event budgeting, support in preparation of professions presentation and documents, support in management of project management platforms and ad hoc support in translation of documents and at meetings.The position will work closely with the VN_ADAPT project teams and report to the Deputy Project Manager, with matrix management from the National Project CoordinatorResponsibilitiesLogistical Support:<ul><li>Responsible for logistics arrangement for project activities, including small procurement, workshops, meetings, field visits, and events.</li><li>Arrange travel, accommodation, and transportation for project staff, stakeholders, and visitors as needed, and in coordination with SNV Logistic officer.</li><li>Liaise with operations and procurement teams for timely procurement and documentation for goods and services</li></ul>Event Organization and Financial Support:<ul><li>Assist in planning, budgeting, and managing expenses and settling for project events and meetings.</li><li>Track and process payments related to event logistics, ensuring compliance with the project’s budget and financial procedures.</li><li>Maintain records of financial transactions and expenses related to events and meetings.</li><li>Ensure that venues, materials, and equipment for events and meetings are secured and ready for use.</li><li>Support preparing, printing, formatting of presentations and documents (English and Vietnamese)</li><li>Event’s participants management: communication and following up of registration, logistics guidelines, event participation support</li></ul>Documentation and Filing:<ul><li>Maintain an organized filing system for all project-related documents, including contracts, reports, meeting notes, correspondences, knowledge publications and media article/link (in conjunction with Communication officer) .</li><li>Ensure proper storage and easy retrieval of both physical and digital project documents.</li><li>Upload and manage project documents on shared drives, ensuring up-to-date access for team members.</li><li>Support in meeting minute taking and documenting action points</li></ul>General Administrative Support:<ul><li>Provide general administrative assistance to the project team, ensuring smooth daily operations.</li><li>Assist with scheduling and preparing materials for meetings and events, including agendas and reports.</li><li>Maintain communication with vendors, service providers, and project staff as required to ensure timely execution of tasks.</li><li>Support in English-Vietnamese translation at meetings and translation of documents and communications</li></ul>Project Management and Data tools<ul><li>Support in set up, management and input of work planning and project information in the project management tool/platform</li><li>Support the Project Management in task management and tracking</li><li>Support to the MEL Advisor in monitoring and evaluation data management as required.</li></ul>Other duties as assigned by the line manager and project management leadership
