The position is Kolwezi based. Administrative Management - Lead and supervise administrative staff including reception, clerical support, office assistants, and driver, cleaners. - Ensure smooth daily functioning of office operations, including document management, scheduling, and logistics coordination. - Maintain office supplies, manage inventory, and ensure cost‑efficient procurement of materials. - Oversee travel arrangements, accommodation, and transport bookings for employees and visitors. - Maintain an organized filing system for critical documents including contracts, legal files, Each local Aggreko employees record and operational records.  Secretarial &amp; Support Services - Provide executive-level secretarial support to the Operations Manager and other senior leaders. - Manage correspondence, prepare reports, handle confidential documents, and maintain calendars/meeting schedules. Be a bridge between Aggreko Expats &amp; Aggreko Local employees. - Draft, review, and distribute internal communications, notices, and official letters. - Coordinate meetings, prepare agendas, take minutes, and ensure timely follow-up of action items.  Compliance &amp; Governance  - Ensure all administrative processes comply with Aggreko policies, HR &amp; Admin procedures, and local DRC regulations. - Support audits by preparing required documentation and ensuring administrative practices meet compliance standards. - Assist the HR, Admin and Legal teams with contract management, onboarding documentation, and employee file updates.  Operational Support - Support logistics for operational activities including site visits, mobilization of staff, and coordination with procurement. - Manage vendor relationships for services such as cleaning, security, transport, utilities, and office maintenance. - Ensure proper management of service contracts and monitor performance of external suppliers.  People Management - Supervise, coach, and develop administrative staff to ensure high performance and service quality. - Participate in recruitment processes for administrative roles when required. - Drive a culture of discipline, teamwork, and continuous improvement within the admin unit. - Manage Goal &amp; performance of ALL local manpower. - Conflict managementQualifications &amp; ExperienceEducation - Bachelor’s degree in Business Administration, Administrations, Management, HR, Secretarial Studies, or related field.  -Additional training in Office Management, Administration, QHSE, or Executive Assistance is an advantage.Experience - Minimum 5 years of experience in administration or office management roles. - Experience supervising teams in a corporate or industrial environment (preferred). - Experience in energy, mining, or engineering sector is an added advantage.Skills - Strong organizational and multitasking abilities. - Excellent communication (verbal &amp; written) in English and French. - Proficiency in MS Office (Word, Excel, Outlook, PowerPoint). - Strong understanding of record management and administrative processes. - Ability to work under pressure and manage competing priorities. - High level of professionalism, confidentiality, and attention to detail.
