You'll work across teams, build relationships throughout the organisation and become a trusted partner to both COO, UK Operations Director and the wider operations leadership team.</p><br><br><h3>What you'll do</h3><ul><li><p>Be the trusted right-hand person to our Global COO &amp; UK Operations Director, helping create clarity, a little more structure and focus in a fast-moving environment</p></li><li><p>Act as a key point of contact across the entire Ops department and Leadership Team, building strong relationships and helping keep priorities moving forward</p></li><li><p>Manage a complex and ever-changing diary, ensuring time is spent on the highest-impact work</p></li><li><p>Coordinate domestic and international travel, often at pace and sometimes with last-minute changes</p></li><li><p>Help manage inboxes, communications and follow-ups, ensuring important actions don't fall through the cracks</p></li><li><p>Be a trusted sounding board and sense-checker, helping identify priorities and bring calm to busy periods</p></li><li><p>Own the planning and delivery of leadership offsites, team events and operational gatherings from start to finish, including logistics, venues, agendas, communications and creative elements</p></li><li><p>Support the business with ad hoc requests and projects, becoming a go-to person across the function</p></li><li><p>Organise board meetings, leadership sessions and strategic events, working closely with senior stakeholders and Executive Assistants across the wider group</p></li><li><p>Prepare briefing materials, meeting notes and key information ahead of important meetings, presentations and events</p></li><li><p>Coordinate onboarding and support for senior hires joining the Operations team, helping them settle in and become effective quickly</p></li><li><p>Embed yourself and work across multiple teams - supporting projects, communications and operational initiatives</p></li><li><p>Help organise team socials, celebrations and culture-building moments that make Octopus a brilliant place to work</p></li><li><p>Support the COO &amp; UK Operations Director’s communications and experiences with customers, working with the teams to ensure an outrageously good service and, at times, replying to customers directly</p></li><li><p>Welcome visitors to our London office and create a fantastic experience for colleagues and guests</p></li><li><p>Manage expenses, approvals and administrative processes efficiently and accurately</p></li><li><p>Work alongside the EA team, being a team player and offering support and advice when needed</p></li><div> </div></ul><h3>Who you'll be</h3><ul><div><li><p>An experienced Executive Assistant with least 2 years’ experience supporting a c-suite executive  </p></li><li><p>Thrive in a fast paced environment, comfortable with ambiguity and autonomy</p></li><li><p>Calm under pressure</p></li><li><p>Friendly and approachable, no task is too big or small.
