Job OverviewThe Senior AR/AP Specialist is responsible for the end-to-end accounts receivable and accounts payable functions, including cash application, collections, invoice processing, vendor management, accrual preparation, and month-end close support. This position ensures the accuracy and completeness of receivable and payable balances while maintaining strong internal controls and supporting continuous process improvements. The role serves as a key liaison between accounting, operations, customers, vendors and helps ensure accurate financial transactions, effective cash flow management and compliance with company policies and accounting procedures. Primary ResponsibilitiesAccounts Receivable<ul><li>Generate and distribute customer invoices accurately and timely. </li><li>Process and apply customer payments, including ACH, wire transfers, checks, and credit card receipts. </li><li>Reconcile unapplied cash and investigate payment discrepancies. </li><li>Maintain customer master records and billing information. </li><li>Review AR aging reports and monitor overdue balances. </li><li>Conduct collection activities and communicate with customers regarding past due invoices. </li><li>Escalate delinquent accounts and recommend reserve requirements as necessary. </li><li>Prepare weekly cash collections reports and DSO metrics. </li><li>Assist with bad debt analysis and allowance calculations. </li></ul>Cash Application and Treasury Support<ul><li>Record daily cash receipts and ensure timely application to customer accounts. </li><li>Reconcile bank deposits to customer remittances. </li><li>Research unidentified receipts and resolve discrepancies. </li><li>Assist with cash forecasting by providing collection estimates. </li><li>Support bank reconciliations and treasury-related activities. </li></ul>Accounts Payable<ul><li>Review, code, and process vendor invoices in accordance with company policies. </li><li>Match invoices to purchase orders and receiving documentation. </li><li>Process weekly payment runs, including ACH, wire transfers, and checks. </li><li>Maintain vendor records and ensure W-9 documentation is current. </li><li>Reconcile vendor statements and resolve invoice discrepancies. </li><li>Monitor AP aging and ensure timely payment of obligations. </li><li>Prepare annual Form 1099 reporting and related documentation. </li><li>Support employee expense reimbursement processing. </li></ul>Month-End Close and Accrual Support<ul><li>Prepare monthly AP accruals for goods and services received but not yet invoiced. </li><li>Prepare recurring journal entries related to prepaid expenses, accrued liabilities, and other assigned accounts. </li><li>Reconcile AR and AP subledgers to the general ledger. </li><li>Prepare monthly account reconciliations and supporting schedules. </li><li>Analyze fluctuations in AR and AP balances and investigate variances. </li><li>Assist in ensuring timely and accurate monthly, quarterly, and year-end close processes. </li><li>Support external audit requests by providing schedules and supporting documentation. </li></ul>Reporting and Analysis<ul><li>Prepare AR aging, AP aging, collections, and cash receipts reports. </li><li>Monitor customer payment trends and vendor balances. </li><li>Assist with working capital reporting and cash flow analysis. </li><li>Identify process inefficiencies and recommend improvements. </li><li>Maintain KPIs such as DSO, AP days outstanding, and invoice processing metrics. </li></ul>Internal Controls and Compliance<ul><li>Ensure transactions are processed in accordance with company policies and established controls. </li><li>Maintain accurate supporting documentation and audit trails. </li><li>Assist with SOX compliance activities, if applicable. </li><li>Support internal and external audits. </li><li>Participate in process automation and continuous improvement initiatives.</li></ul>RequirementsDesired Qualifications<ul><li>Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.</li><li>4–7 years of progressive AR and AP experience. </li><li>Experience with cash application, collections, month-end close, and account reconciliations. </li><li>Experience in a multi-entity or high-volume environment preferred.</li><li>Knowledge of internal controls and standard financial procedures to ensure accuracy and compliance.</li><li>Strong understanding of GAAP and accounting fundamentals. </li><li>Advanced Microsoft Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, formulas). </li><li>Experience preparing journal entries and balance sheet reconciliations. </li><li>Familiarity with 1099 reporting and sales tax processes. </li><li>Experience with workflow and AP automation systems is a plus.</li><li>Strong communication and interpersonal skills.</li><li>Attention to detail and strong analytical abilities.</li><li>Proficiency with SAP Business One and Wrike a
