Job Overview The Program Coordinator, Forestry is a member of the Forest Certification Program team, a growing and evolving program dedicated to delivering third-party certification services that promote sustainable forest management and responsible sourcing practices. This position primarily supports the Technical Director, Forestry, while also providing coordination and operational support to the broader Forestry leadership team and program staff as needed to ensure the effective delivery of program activities and client services. Relevant Standards/Schemes American Tree Farm System Forest Stewardship Council (FSC) PEFC Chain of Custody Responsible Wood Certification Sustainable Forestry Initiative (SFI) Sustainable Biomass Program (SBP) Certification Others, as determined Essential Duties and Responsibilities Program and Project Coordination<ul> <li>Coordinate day-to-day program operations, ensuring tasks, schedules, and deliverables are completed accurately and on time</li> <li>Maintain program calendars, track project milestones, and prepare routine progress updates and reports</li> <li>Assist with the management of program projects aimed at improving processes, meeting accreditation requirements, and streamlining operations</li> <li>Support resource planning and logistics for meetings, events, training sessions, and other program activities</li> <li>Assist in coordinating cross-functional teams to ensure effective communication and workflow alignment</li> <li>Track program expenses and reconcile against budgeted amounts</li> <li>Review invoices from auditors and scheme owners, submit them for approval, monitor invoice status, and identify potential cost savings and operational efficiencies</li> <li>Support the collection and analysis of data for financial and operational reporting</li> <li>Assist program management in organizing team meetings, events, and special initiatives</li> <li>Manage new transaction verification projects as requested by Accreditation Services International (ASI)</li> <li>Ensure program activities comply with organizational policies, accreditation requirements, and quality standards</li></ul>Client Support and Communication<ul> <li>Provide exemplary customer service in response to requests and inquiries</li> <li>Provide information to clients regarding the certification process and relevant program requirements</li> <li>Manage daily communications with clients, SCS program personnel, contract auditors, accreditation bodies, certification schemes, and other stakeholders</li> <li>Support the program through effective client relationship management within a collaborative team environment</li> <li>Manage and coordinate responses to conformance-related inquiries from accreditation bodies, certification schemes, and stakeholders</li> <li>Draft, review, and distribute program-related communications, updates, and guidance materials</li></ul>Administrative and Operational Support<ul> <li>Maintain and organize program documentation, records, databases, and management systems to ensure accuracy, accessibility, and version control</li> <li>Support internal administrative processes, including document control, contract management, procurement, and tracking activities</li> <li>Maintain and update Work Instructions, templates, guides, and other operational tools and reference materials</li> <li>Coordinate meeting logistics, agendas, minutes, and follow-up actions</li> <li>Draft and distribute program communications, updates, and training materials as needed</li> <li>Facilitate document translations and support the preparation of presentations, outreach materials, and other program resources</li> <li>Support managers and team members with training activities and the implementation of program processes and tools</li> <li>Collaborate with cross-functional teams to ensure consistent execution of program activities and operational goals</li></ul>Minimum Qualifications<ul> <li>Associate's Degree in Natural Resources, Business Administration, or a related field or </li> <li>Equivalent combination of education and/or relevant work experience and</li> <li>2+ years of professional experience </li> <li>Proficient in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook (Advanced proficiency)</li> <li>Exceptional database management skills with ability to rapidly learn new systems as necessary</li> <li>Ability to prioritize multiple tasks and meet deadlines</li> <li>Ability to manage time, work well independently, and work in team-oriented situations</li> <li>Ability to provide excellent customer service and maintain a professional demeanor at all times</li> <li>Ability to thrive in a fast-paced, customer-service oriented, collaborative team environment</li> <li>Proficiency in English with excellent writing and verbal communication</li></ul>Preferred Qualifications<ul> <li>Bachelor's Degree in a related field</li> <li>2+ years of experience in certification of relevant forestry standards (FSC, PEFC, SFI, SBP)</li></ul> The above description is intended to describe the general nature and level of work being performed.
