GENERAL DESCRIPTION

The Wilderness Society Action Fund (TWSAF) is a national 501 (c)(4) organization that focuses on the legislative and grassroots levels to ensure public lands have a robust voice on Capitol Hill and at the ballot box.

The Administrative and Fundraising Associate will support the Executive Director with administrative duties and coordination with our Giving and Impact team. The Administrative and Fundraising Associate responsibilities include managing calendars and timelines, supporting the Executive Director with board and donor communications, managing special projects, and providing support with our Giving and Impact team. 

To be successful in this role, the ideal candidate should be well-organized and can prioritize and manage multiple requests and projects simultaneously with timely follow through. The position requires excellent writing and verbal communication skills and the ability to work with minimal supervision. A background in political fundraising is a plus. This position will play an important role as a conduit with our Leadership Giving and Impact team and fundraising consultants.

Essential Duties & Responsibilities 

  • Supports fundraising consultants and Leadership Giving and Impact teamstaff to meet key deliverables in a timely manner that include but not limited to managing project deadlines, managing approval processes for fundraising documents by solicitating and incorporating input from team members while moving the project forward, tracking fundraising goals, and drafting documents when needed.
  • Manages special projects assigned by the Executive Director that support our grassroots and electoral program goals.
  • Keeps a pulse on work happening across TWSAF to serve as a hub for information and to actively make connections across programs and departments.
  • Identifies opportunities to create processes and operational systems to streamline projects and programs.
  • Maintains daily calendar and appointment scheduling - including coordinating the Executive Director’s schedule with internal staff and external parties.
  • Manages Executive Director’s correspondence with board, donors, and other external parties.
  • Supports the planning and logistics for special events as needed, Including identifying and building event audiences.
  • Works in close collaboration with Strategic Operations team on all Action Fund related projects
  • Supports Executive Director with donor pitches and materials needed to secure gifts.
  • Performs other related duties as assigned

Qualifications

Experience & Competencies

  • Minimum of 1-3 years of experience providing administrative support to an executive.
  • Experience with political fundraising is a plus.
  • Experience in project management and operations including experience implementing and improving organizational processes and procedures.
  • Must be able to manage a wide range of complex projects and operate independently with minimal oversight.
  • Attention to detail, a polished and professional approach, discretion, judgment, tact, poise, and the ability to work well with a diverse array of people are essential.
  • Ability to multi-task, prioritize, and handle a large volume of work.
  • Requires rapid response and follow-through in a fast-paced environment while maintaining a positive, solution-orientated attitude.
  • The ability to manage information that is highly confidential in nature and sound judgment to know how and when to share this information appropriately.
  • Track record working successfully in teams representing a rich mix of talent, backgrounds, and perspectives—across race and gender. 
  • Proficiency in MS Office Suite including Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Experience with or ability to learn donor database systems.
