Overview

The Natural Resources Defense Council (NRDC) is an international nonprofit environmental organization with more than 3 million members and online supporters. Since 1970, our lawyers, scientists, and other environmental specialists have worked to protect the world's natural resources, public health, and the environment. For over two decades, the NRDC has worked in China as a thought leader and trusted adviser to our partners. With a highly effective team of more than 40 members based in our Beijing office, we have worked hard at both the national and local levels to recommend, develop, and support the implementation of innovative laws, policies, technologies, and market tools that curb pollution and accelerate China’s transition to a clean, low-carbon economy. NRDC's Beijing Representative Office is registered under the Beijing Municipal Public Security Bureau and supervised by the National Forestry and Grassland Administration of China in accordance with applicable laws.

 

NRDC is seeking an Administrative Officer to work with the China team in our Beijing office.

Position Summary

 

The Administrative Officer will report directly to the Operations Director, as well as receive guidance from HR Manager and work closely with the US Workplace Strategy team. The successful candidate will be responsible for the overall office support functions towards various office activities.

Responsibilities

  • Manage the day-to-day running of the office, including the office security, insurance, cleaning services, floral arrangement, etc., and oversee the maintenance of the office facilities and equipment;
  • Oversee budget management; process and monitor expenses
  • Support NRDC’s sustainable operations plan by ensuring the implementation of green measures such as recycling, vermicomposting, arranging the energy-efficient maintenance of the office building and presenting achievement;
  • Manage operational contracts and facilitate negotiations with office vendors, service providers and coordinate Beijing office lease negotiations, renewals, and office moves with building management;
  • Oversee emergency management including updates and protocols; coordinate safety training;
  • Administer office services and policies
  • Orient new employees and interns to our office and train them on office protocols and procedures;
  • Assist with space planning and workspace management
  • Coordinate with IT department on purchasing all electronic products and other communications services;
  • Manage office facilities budget and update office assets records including furniture, IT and other equipment;
  • Assist in HR operations such as job posting, recruitment logistics, onboarding/departure process, leaves and attendance management;
  • Assist in planning in-house and off-site office events such as full-staff meeting, outing, retreat; and
  • Assist in ad-hoc projects and other duties as assigned by the Operations Director.

Qualifications

  • Commitment to NRDC’s mission and values;
  • At least 3 years of relevant work experiences in office management;
  • Good spoken and written communications skills in both Chinese and English;
  • Proficiency in MS Office (e.g., Excel, Word, SharePoint, and Outlook, etc.) web-based communications (e.g., MS teams);
  • Excellent time management skills and ability to multi-task and prioritize work;
  • Attention to detail and problem solving skills;
  • Ability to listen and communicate effectively;
  • Ability to work independently and in team as well;
  • University or college degree, prior experience in international NGOs will be a plus.
