ABOUT THE COALITION

The Building Decarbonization Coalition (BDC) aligns building industry stakeholders with energy providers, environmental organizations and local governments to help electrify homes and workspaces with clean energy. Through convening, policy analysis and consumer awareness building, the Coalition is pursuing fast, fair action to accelerate the development of zero-emission homes and buildings that will help cut one of the largest sources of climate pollution, while creating safe, healthy and affordable communities. 

POSITION SUMMARY 

As an Operations Associate, you will assume a pivotal role in enhancing our organizational dynamics. Your core responsibilities will include driving effective internal communications strategies, supporting culture-related initiatives, and seamlessly managing the administrative aspects of recruitment and onboarding processes. You will also assume a pivotal role in enhancing our organizational virtual and in-person team meetings and events including the annual team retreat, Lunch and Learns, Deep Dives, and regional in-person events.  Your work on fostering engagement, cultivating culture, and streamlining operational workflows will be instrumental in propelling our organization's mission forward.

ESSENTIAL FUNCTIONS

  • Oversee the organization's internal communication efforts, including leveraging branded templates effectively.
  • Curate and manage the BDC internal Newsletter, featuring updates, spotlights, and events to foster engagement and cohesion.
  • Assist with the development of a comprehensive Culture Guide to strengthen our organizational ethos and values.
  • Enhance branding and touchpoints to create a cohesive and impactful organizational identity, including managing the distribution of BDC Swag.
  • Contribute to management training initiatives by assisting with the creation of a Manager’s Coaching Guide.
  • Manage all aspects of BDC’s technology, from new account setups to providing training support for staff.
  • Facilitate onboarding administrative tasks, ensuring a seamless and positive experience for new hires.
  • Coordinate task management processes and schedule check-ins to maintain efficiency and progress tracking.
  • Update and maintain onboarding materials to ensure accuracy and relevance.
  • Coordinate interview scheduling, email follow-ups, and administrative aspects of job postings, including opening and closing positions in the Greenhouse ATS platform..
  • Provide administrative support for open enrollment processes, ensuring smooth execution on the admin side.
  • Collaborate with the operations team and executive leadership in the planning of the quarterly check-ins and annual team retreat.
  • Collaborate with Program Directors to plan and implement regional team retreats. 
  • Develop an ongoing calendar of internal virtual events (Lunch and Learns,  Deep Dives, Wellness Events, Learning and Development Initiatives and Office Hour Events).
  • Responsible for the planning and day-of support for events; manage the travel, arrange catering and audio-visual, and ensure a high quality experience
  • Create and send event communications; working closely with the appropriate teams to develop a communication plan for each event
  • Manage supplies for each event, ensuring supplies are ordered, shipped, and tracked
  • Assist with logistical questions for upcoming meetings
  • Offer additional administrative assistance as needed.

SKILLS & QUALIFICATIONS

  • Minimum of 1 - 4 years of experience in operations, internal communications, or related roles.
  • Strong project management skills, with the ability to handle multiple tasks and priorities simultaneously.
  • Proficiency in technology management, including account setup and providing training support.
  • Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
  • Proven ability to work collaboratively in cross-functional teams and manage relationships effectively.
  • Familiarity with Greenhouse or similar applicant tracking systems is a plus.
  • Exceptional organizational skills and a proactive approach to problem-solving.
  • Adaptability and flexibility to thrive in a dynamic and evolving nonprofit environment.
  • High level of professionalism, discretion, and ethical conduct in handling sensitive information.
  • Experience in event planning and administration is a plus.

WORK ENVIRONMENT, SCHEDULE, & TRAVEL

Typical work hours are Monday through Friday, 9:00 AM to 5:00 PM.

COMPENSATION AND BENEFITS 

The salary range for this position is $70,000 - $80,000 commensurate with experience, plus a competitive benefits package including paid health insurance coverage, retirement benefits with company matching, unlimited flexible paid leave, 12 paid holidays, access to professional development resources, and much more.
