Job Description

We're seeking an Event Coordinator to play a pivotal role in enhancing our event initiatives within the Climatebase Fellowship and beyond. You'll be responsible for producing events, from speaker outreach to data analysis. You’ll have the exciting opportunity to identify and connect with key voices who will expand the horizons of our vibrant Climatebase Fellowship community.

  • We’ve developed one of the leading climate newsletters, Climatebase Weekly, which reaches nearly 100k readers three times each week.
  • We launched and organized SF Climate Week, which attracted over 7,000 people who attended over 100 events. 2023 was the first SFCW, and we will be running SFCW annually.
  • We launched the Climatebase Fellowship in 2022. Since then, we have helped accelerate the climate careers of over 1,000 Fellows that we selected from over 8,000 applicants across 4 cohorts. We are currently mid-way through cohort 4.

About The Fellowship:

The Climatebase Fellowship, now in its fourth iteration, is our climate career accelerator for top mission-driven professionals. Bringing together selective cohorts of Fellow peers and experts, the community-focused interdisciplinary educational experience is designed to help talented professionals accelerate their existing careers in climate or transition into the space. The Fellowship includes an online 12-week cohort-based program and 6 months of membership in the broader Fellowship community after the cohort concludes.

Position Overview:

As the Event Coordinator, you'll report to the Fellowship Program Manager, and under their guidance you’d be at the forefront of crafting experiences that matter. Through your efforts, our community will gain valuable exposure to thought leaders, build lasting connections, and learn from a variety of perspectives in order to advance their climate career goals. You'll have the rewarding opportunity to interact with pioneers in the climate space and accompany Fellows on their climate journeys.

Key Responsibilities:

Speaker Management:

  • Identify and curate a shortlist of potential speakers aligned with event themes.
  • Conduct outreach to finalize and confirm speakers and expert guests.
  • Coordinate logistics and maintain ongoing communication with confirmed speakers.
  • Nurture relationships with potential and previous guests for future events.
  • Oversee, update, and optimize our speaker database to ensure it’s comprehensive and current.

Event Production:

  • Develop detailed event scripts and establish the run-of-show for smooth event execution.
  • Design event pages and create promotional assets to engage and inform the community about upcoming events.
  • Provide necessary technical assistance during live events to ensure a seamless experience for both speakers and attendees
  • Ease with moderating and facilitating events to ensure smooth execution, especially during unexpected technical or other disruptions.

Data Analysis & Reporting:

  • Analyze event data, attendee feedback, and other relevant metrics.
  • Report on notable trends, insights, and overall event performance.
  • Propose and implement improvements based on data analyses to continually enhance event operations and attendee experience.

Relevant Qualifications:

Experience in Event Management: Familiarity with the end-to-end process of organizing and executing virtual and/or physical events.

Communication Skills: Strong capability in establishing and maintaining relationships with diverse stakeholders, especially event speakers. Past relevant experience is highly recommended.

Technical Proficiency: Comfort with using event software, platforms, and tools, including troubleshooting during live events.

Data Analytics: Ability to interpret event data and derive actionable insights to improve future events.

Content Creation: Experience in or an aptitude for designing promotional materials and copy, and crafting engaging event scripts.

Organizational Skills: Detail-oriented with the capability to manage multiple tasks and deadlines effectively.

Climate Enthusiast: A genuine interest in the climate space and a desire to make an impact is essential. If you’re well-networked in climate, that’s a great bonus to have for this role.
