About The Role 

We are currently seeking a highly motivated Operations Associate to play a central role in ensuring the efficient operation and administration of our two offices in San Francisco and Washington, D.C.

 

Reporting into CPI’s Program Operations Manager (with a dotted line to the US Director of Operations), this role will work closely with our entire US team across both offices – so the ability to build positive working relationships with colleagues and external partners will be essential to the success of this role.

 

We’re looking for a self-motivated individual who brings enthusiasm and energy to their work. Someone who can identify and act on opportunities for improvement will be key. As a standalone role you’ll have the autonomy to make impactful decisions and contribute to creating and fostering a positive work environment. You’ll need to have a systems focused approach with the ability to juggle a busy and varied workload.

 

Roles and Responsibilities 

Includes the following and others as assigned:  

 

Office Management: 

  • Oversee the day-to-day US office management, including managing office supplies and related expenses, facilities, and ensuring a safe and welcoming workplace;
  • Working closely with the HR Associate to ensure new starters have equipment and systems access
  • Coordinating with the office management company on issues and improvements regarding CPI’s office spaces in both U.S. locations;
  • Maintaining technology equipment (laptops) by calling for repairs; monitoring equipment operation; monitoring, purchasing, and inventory management;
  • Managing invoicing for office, benefits, legal, and other local vendors;
  • Day to day and Project IT support as required;
  • Undertaking and support special projects as required.

 

Administrative and Event Support:

  • Providing office support to the US based employees;
  • Supporting the operations function with administration tasks, such as office, supplies and subscriptions management;
  • Providing comprehensive administrative support to the US office directors, including travel and schedule coordination, travel insurance management, credit card and expense reconciliation, timesheet entry, contact management, and special projects as required 
  • Assisting with internal and external events planning and management.
  • Providing support to the UK office during busy periods

 

About You 

Essential:

  • Committed to CPI’s mission and values; 
  • Proven experience in providing administrative support to a busy team;
  • Confidence with all Microsoft Office Suite;
  • Excellent oral and written communication skills;
  • Detail-oriented with strong organizational skills;
  • Enjoy working with others and building an inclusive team culture;
  • Self-motivated with a passion for learning;
  • Flexible and willing to jump into tasks as needed;
  • Written and spoken fluency in English (required)

 

Beneficial:

  • Experience with HRIS and time/expense/payroll applications; 
  • Experience working in a not-for-profit organization or in program administration

 

Position Details 

CPI is recruiting for one (1) full time position to be based either in our San Francisco (preferred) or Washington D.C. office. CPI has adopted hybrid working whereby staff are able to work a mix of remote and in the office. Due to the the nature of this role, some elements will be best fulfilled when on-site, so regular office attendance will be required from this role. 

 

The salary range for this position is $60,000 - $70,000 annually. 

CPI salary offers are determined by the level of skill and experience demonstrated by the selected candidate as well as alignment to internal equity and external market levels.

CPI also offers a highly competitive benefits package which includes a generous 401(k) contribution and PTO provision.
