Job Description

Position Overview

As the Executive Assistant to the Senior Executive Vice President &Construction Business Leader you will provide daily support andadministrative assistance to the Construction Business Leader as well asthe members of the Engineering, Project Controls, Global sourcing, ECSand Project Management teams. You will work across a broad range ofactivities including but not limited to calendaring, travel, managinghigh-priority workflows and approvals, processing expense reporting,organizing meeting notes and other due diligence information andassigned duties. You will have the ability to manage and proactivelybuild relationships across Invenergy senior leadership.

Essential Functions

  • Primary responsibility is to actively manage the Executive\'scalendar which includes but is not limited to coordinating events,scheduling meetings, organizing attendees, overseeing all travelarrangements (both domestic & international).
  • Provide a similar level of support to the Executive\'s team asneeded or required.
  • Ensure the Executive runs on schedule, keeping operations movingsmoothly and highlighting priorities for upcoming activities andhandling meeting preparation.
  • Anticipate the needs of the Executive and resolve operational andadministrative issues before they arise.
  • Responsible for consolidating weekly functional area reports.
  • Manage weekly, monthly, and quarterly team meetings.
  • Manage contract administration processes and procedures and purchaseorder approval workflows for team.
  • Ability to utilize and leverage technology to performresponsibilities, including a commitment to maintaining electronicrecords and other digital mediums (CRM, SharePoint, etc).
  • Willingness to assist with booking personal/familial appointmentsand travel as needed.

Qualifications

  • Possesses excellent time management and problem-solving skills withsignificant experience proactively and effectively managing multipleprojects simultaneously.
  • Has a strong sense of urgency and attention to detail.
  • Ability to work independently and as an extension of the executiveoffice team.
  • Able to influence others and communicate tactfully to accomplishcomplex assignments requiring cross-organization cooperation.
  • Has a proven track record of being calm and focused under pressure,resolving and diffusing sensitive situations, maintainingprofessional interactions with associates at all levels andestablishing rapport quickly.
  • Interacts positively and professionally with Executive\'s externaland internal networks and exhibits sound judgement on the ability tomake reasonable decisions in the absence of direction.
  • Ability and willingness to utilize and leverage technology inperforming responsibilities including a commitment to maintainingelectronic records and other digital mediums.
  • A basic knowledge and interest in renewable project development.

Required Education and Experience

  • 2+ years of relevant full-time experience supporting a high-levelexecutive.
  • Bachelor\'s degree preferred.
  • Intermediate to Advance MS Excel and Advanced PowerPoint, Outlookand Word.
  • Discretion when working with sensitive company and personalinformation.
  • High-level of personal ntegrity and professionalism.
  • Always maintain a high-level of confidentiality.
  • Self-directed, reliable, and independent when necessary to completeprojects with limited supervision.
  • Demonstrate ability to prioritize time sensitive and competingissues.
  • Willingness to be available during atypical hours if a high-priorityevent arises.
  • Proficiency in Microsoft Office applications and operation of officeequipment
  • Professional, positive, resilient and proactive.
