About the role

Join Back Market as an Office Manager and become the heart of our vibrant Barcelona office! Collaborate with our People & Culture team to champion our values, ensuring an inclusive and dynamic onboarding experience for new hires while managing office supplies, budget tracking, and event organization with a focus on sustainability and team cohesion. YOUR MISSION (IF YOU ACCEPT IT): 🏅

  • Collaborate with the People & Culture team based in France and Barcelona, serving as Back Market's values ambassador and actively contribute to the strategic onboarding of new hires while fostering an inclusive and dynamic team environment at the Barcelona’s office.
  • Procure office supplies, snacks, beverages, and weekly lunches through a network of diverse and sustainable vendors, ensuring inclusive procurement practices, and oversee budget tracking and invoice management with a focus on efficiency and cost-effectiveness.
  • Welcome external visitors, including providers and job candidates, on a daily basis, demonstrating a welcoming and inclusive approach.
  • Efficiently sort and distribute incoming and outgoing mail, packages, and orders, prioritizing equal treatment and meticulous attention to detail to ensure all recipients receive prompt and precise service: 
  • Ensure the proper functioning of equipment, oversee maintenance, and maintain cleanliness in collaboration with the coworking space's facility team, while ensuring compliance with health and safety protocols.
  • Strategically organize internal events and activities, both in-person and online, to promote team cohesion, celebrate diversity, and enhance employee engagement, actively encouraging participation and feedback from all team members.
  • Proactively research and implement innovative ideas to unite employees, proposing activities that are inclusive, reflective of Back Market's values, and contribute to a positive workplace culture.
  • Create and maintain a welcoming, clean, and inclusive office environment that fosters positive energy, a sense of belonging, and supports the overall well-being of all employees.
  • Support in managing the culture committee established in all offices without an office manager, ensuring the dissemination of Back Market's DNA by remotely assisting in the organization of cultural happenings, disseminating cultural themes in advance, and serving as the liaison for office-related matters with the owners of the different offices. This includes ensuring the provision of supplies, updating office-related information to support on-site teams and visitors, while also ensuring follow-up on the budget and billing. 
  • Act as the cultural referent for the fully remote community, facilitate its engagement, and understand the needs and challenges related to fully remote work issues.

YOU ARE IN THE RIGHT PLACE IF: ⭐

  • Committed to being in person at the office 5 days a week.
  • A minimum of 3 years of successful experience in HR administration and/or office management
  • Fluent in English and Spanish (Catalan is a plus) with excellent writing skills to facilitate effective collaboration Back Market team.
  • Detail-oriented with a demonstrated ability to multitask, showing a high level of initiative and motivation in promoting an environment that celebrates diversity, equity, inclusion, belonging, and accessibility.
  • Skilled at maintaining confidentiality while maintaining a genuine caring attitude, valuing the privacy and individuality of each employee.
  • A high level of empathy and excellent interpersonal and communication skills, fostering open and inclusive dialogue among team members.
  • A positive, friendly, and outgoing personality, contributing to a supportive and inclusive work culture.
  • Independent, self starter.
  • Be ready to travel for business as needed.
