In this role, you will support our People & Culture (P&C) team by managing various employee-related tasks and ensuring compliance with HR policies and regulations. Position Summary

Core responsibilities include maintaining employee records and processing changes, onboarding and offboarding employees, administering employee benefits programs, coordinating and administering employee leaves of absence, and ensuring compliance with labor laws and company policies. Additionally, the People Operations Administrator supports employee relations, coordinates training sessions, reports and documents workplace safety incidents, supports payroll processing, and answers employee inquiries. The role requires strong organizational skills, attention to detail, outstanding interpersonal skills, and a solid understanding of human resource procedures, best practices, and regulations. 


Primary Job Duties


People Administration:


  • Manage the administration of the employee lifecycle, including onboarding, changes, and offboarding.
  • Maintain accurate and up-to-date employee records in HR systems.
  • Process employment verifications and prepare or file other employment-related reports.
  • Serve as a point of contact for employee inquiries regarding company policies, procedures, and general HR questions.
  • Assist in organizing employee performance reviews, ensuring timely completion and documentation.
  • Assist with forms, policy, and procedure development, and help with training employees on new or revised policies and procedures as needed.

 

Benefits and Leave Administration:


  • Administer employee benefits programs, including health insurance, retirement plans, life insurance, and wellness initiatives.
  • Assist with open enrollment for annual benefits, including communication and employee support.
  • Serve as the primary point of contact for employee benefits inquiries and coordinate with benefits providers as needed.
  • Ensure compliance with benefits regulations such as COBRA, HIPAA, ACA, and ERISA.
  • Process leave requests, including FMLA and other state or company-mandated leave policies.
  • Track and monitor employee leave to ensure compliance with leave policies and legal requirements.
  • Provide guidance to employees and managers on leave policies, eligibility, and procedures.
  • Support ongoing benefits audits and prepare compliance reports (ACA, EEO-1, OSHA logs, etc.) as required.


Compliance:


  • Assist department leadership with ensuring human resource policies, procedures, and programs comply with federal, state, and local employment laws (e.g., DOL, FMLA, ADA, FLSA, EEO, OSHA, etc.).
  • Stay updated on changes in employment laws and regulations, research as needed, and communicate changes to HR leadership.
  • Manage compliance-related documentation, including labor law postings, employee file maintenance, and record retention policies.


Information Systems:


  • Maintain Human Resources Information Systems (HRIS) to ensure accurate data entry for all employee records. Generate HR reports, metrics, and analytics from HRIS as necessary or requested.
  • Ensure data integrity and compliance with data privacy regulations.


Payroll Support:


  • Assist in processing payroll by ensuring the accuracy of employee data during pre-process review.
  • Ensure compliance with wage and hour laws.
  • Respond to payroll-related and leave balance inquiries from employees.
  • Coordinate with finance and payroll teams to resolve any payroll discrepancies or adjustments.

 

Safety and Workers’ Compensation:


  • Support the administration of workplace safety programs in compliance with OSHA and other safety regulations.
  • Report and document workplace injuries, illnesses, or incidents. Serve as the point of contact for workers' compensation claims, coordinating with insurance providers and ensuring timely processing. Maintain accurate records of workers' compensation claims and assist with maintaining accurate records of workplace safety training.


Secondary Job Duties


  • Serve as a backup for payroll processing, ensuring timely and accurate payroll execution in the absence of the primary payroll administrator.
  • Attends human resource best practice and compliance training as needed or required.
  • Assists with job candidate communication and interview setup in the absence of the primary talent partner.
  • Assists with P & C presentation development or creation (e.g., spreadsheets, documents, presentations, etc.).
  • Assists with or contributes to other department-related tasks as assigned by the Director of P&C.


Physical Demands/Conditions Requirements


Including but not limited to the following: Environment: Office environment. Home office, must have high speed internet with a setting designed to work without interruption. As required, movement throughout a variety of business tasks required. Physical Demands: Walking, sitting, standing, keying, repetitive movements. Equipment Used: Including but not limited to the following: Computer, cell phone, automobile and office equipment


Knowledge/Skills/Experience Required


  • A bachelor’s degree or equivalent experience with at least two years of relevant professional experience in human resources administration.
  • Must have a strong working knowledge of human resources legal compliance, benefits and leave compliance, and payroll administration.
  • Excellent interpersonal and communication skills, with the ability to engage and build employee relationships.
  • Proficient use of MS Office software and the ability to learn new software required.
  • Excellent organizational and time management skills with the ability to work independently and with minimal supervision.
  • Accuracy and attention to detail required.
  • Must be able to maintain strict privacy of confidential employee information.
