Position Summary:
As an Administrative Assistant reporting to the Executive Assistant, you will play a critical role in ensuring smooth day-to-day operations for EVgo’s senior leadership team. You will provide general administrative support, assist in managing schedules, coordinate meetings, and help facilitate communications between the executive team and internal/external stakeholders. The ideal candidate will be organized, proactive, and capable of juggling multiple priorities with a high level of professionalism.
Responsibilities:
- Based near the LA office to support meetings as needed.
- Administrative Support: Provide general administrative support to the Executive Assistant and senior leadership team, including answering phones, managing correspondence, and drafting presentations, emails and documents as needed.
- Scheduling: Assist in maintaining and coordinating busy calendars for senior executives, including scheduling meetings, appointments, and conference calls.
- Meeting Coordination: Help prepare for meetings by gathering necessary materials, setting up conference rooms or virtual meeting links, and coordinating logistics such as catering, presentations, or equipment needs.
- Travel Arrangements: Support the Executive Assistant and leadership team with arranging domestic and international travel, including booking flights, hotels, transportation, and preparing detailed itineraries.
- Expense Reports: Assist with processing and submitting expense reports for the executive team in a timely and accurate manner.
- Document Management: Help organize and maintain digital and physical files, ensuring all critical documents are easily accessible.
- Communication Liaison: Serve as a point of contact between the executive office and internal/external stakeholders, ensuring professional and timely communication.
- Event Planning Support: Provide support with planning and executing company events, including logistics coordination, venue selection, and on-the-ground support.
- Special Projects: Assist with ad-hoc projects and research assignments as directed by the Executive Assistant or senior leadership.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
Required Skills/Experience:
- Proven experience as an Administrative Assistant, Office Coordinator, or similar role.
- Strong organizational and time management skills, with the ability to prioritize multiple tasks in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms (Zoom, Microsoft Teams, etc.).
- Ability to work independently and collaboratively in a team environment.
- High level of discretion and professionalism when dealing with confidential information.
- Detail-oriented with strong problem-solving abilities.
- Flexibility and adaptability in a dynamic work environment.
- This is a three-month contract-to-hire opportunity, with the possibility of transitioning to a full-time role upon successful completion of the contract period and evaluation
For job positions in CA, CO, and NYC, the estimated salary range for a new hire in this position is $65,000.00 USD to $75,000.00 USD. Actual salary may vary depending on job-related factors, including knowledge, skills, experience, and location. In addition to a competitive base salary, we offer discretionary target cash bonuses, restricted stock units (subject to Board Approval), and a comprehensive benefits package including health, life, and disability insurance, unbounded paid time off including parental leave, and a 401(k).
