Summary

The Administrative Assistant performs a variety of administrative tasks to support the Director of Plant Operations and the Plant Managers and Supervisors. This position will coordinate the application and hiring process for plant and plant maintenance positions and maintenance of time-clock records.

 

Schedule

  • Monday through Friday: Day Shift

 

Primary Duties & Responsibilities

  • Assist in recruitment and onboarding of plant applicants
  • Serve as point of contact for new hires regarding onboarding, schedule and training
  • Responsible for ordering, assigning, and laundering PPE for plant employees
  • Prepare reports and production metrics as requested
  • Maintain confidence and protects operations by keeping information confidential
  • Schedule and coordinate meetings, interviews, events and other similar activities
  • Inventory
  • Track and report hours for temporary workers
  • Responsible for tracking forklift training
  • Assist with destruction certification letters
  • Schedule fundraiser drops

 

Education/Experience

  • 1-2 years of Administrative Support experience
  • 1-2 years’ experience in recruitment activities preferred

 

Requirements – Skills, Job Knowledge & Abilities

  • Knowledge of generally accepted office practices and procedures.
  • Experience in organizing and maintaining business data files.
  • Demonstrated ability to successfully prioritize and manage multiple projects, adhere to deadlines, handle frequent changes effectively and professionally, follow through on issues in a timely manner and give excellent attention to detail
  • Ability to work well independently and as part of a team; a self-starter, but not hesitant to ask for direction when needed
  • Ability to follow general instructions and understand directions for completing assigned projects.
  • Proficiency and professional knowledge of Microsoft Office Suite including Word, Excel, and Outlook
  • Strong verbal and written communication skills; ability to communicate effectively at all levels with both internal and external partners
  • Bilingual in English/Spanish to include interpretation and translation of documents is preferred

Working Conditions/Physical Requirements

This job operations in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, and parts, up to 20 pounds. This would require to ability to lift files, open filing cabinets or stand on a stool as necessary.
