Responsibilities:

Customer Service

  • You will respond to external and internal customer inquiries via phone, email, and chat in a timely and professional manner, resolving issues and complaints with empathy and efficiency.
  • You will provide product information and support to customers, maintaining a high level of customer satisfaction by ensuring all interactions are positive and helpful.
  • You will manage purchasing tasks, including order placement within SAP, and coordinate sampling shipments for the worldwide customer base by collaborating closely with the logistics and R&D teams.
  • You will provide hands-on office support by managing files, handling administrative tasks, and embodying a proactive, positive mindset.

Invoicing:

  • You will prepare and send invoices to customers accurately and promptly, verify and reconcile discrepancies, and follow up on outstanding invoices to ensure timely payments.
  • You will maintain accurate records of all invoicing activities and support the Finance Shared Services Center with credit notes, invoice follow-ups, and serving as the liaison.

Order Intake:

  • You will process customer orders received via phone, email, and online platforms, verify order details before processing into SAP, and coordinate with the warehouse and shipping departments to ensure timely order fulfillment.
  • You will update customers on order status and delivery timelines, and maintain updated order status files by interacting with internal clients.

Inside Sales:

  • You will support sales planning and forecasting, identify opportunities within a segment of CAPOL鈥檚 customer base, and provide remote technical support alongside CAPOL鈥檚 Technical Sales Director.
  • You will proactively support the sales team with lead generation by using available lead generation tools and provide backup support for sales team members if/when absent.

Qualifications:

  • You have a high school diploma or equivalent; a degree in business administration or a related field is a plus.
  • You have proven experience in customer service, invoicing, and order processing.
  • You possess excellent communication and interpersonal skills.
  • You have strong attention to detail and organizational skills.
  • You are proficient in using SAP software, MS Excel, invoicing systems, and order management tools.
  • You have the ability to work independently and as part of a team.
  • You are bilingual in French and English.
