Job Title: Office Administrator/ Operational Support

Job Summary:
We are seeking a highly organized and detail oriented Office Administrative Associate to join our team. The ideal candidate will play a crucial role in maintaining the smooth operation of our office and providing essential support to leadership within various departments.
Key Responsibilities:
- Organize and maintain electronic and paper filing systems, ensuring proper record-keeping of correspondence and other documents.
- Answering Phone calls, emails, and directing inquiries.
- Greeting visitors and managing the reception area.
- Troubleshooting minor office issues (e.g., printer problems)
- Scheduling meetings, appointments, and travel arrangements as needed.
- Operate office equipment (e.g., copiers, phone systems) and coordinate repairs as needed.
- Manage office supply inventory, placing orders as needed with appropriate approvals.
- Preparing reports, presentations, and other documents.
- Assisting with basic bookkeeping tasks (e.g., tracking invoices, budgets)
- Collaborate with the Charlotte Office Administrator on various administrative tasks.
- Assist with over-the-counter permit and utility submissions to local AHJs and utilities in our service territory.
- Prepare and distribute post-installation packets for final inspections, either by mailing or delivering to project sites.
- Work with Area Sales Managers (ASMs) and the Operations team to complete project change orders.
- Assist with generating and filing Energy Partner agreements between Renu, customers and sub contractors
- Support operations staff such as the approval coordinators, project managers and Operations leadership.
- Work with the Operations team on documenting process improvements and SOP documentation.
- Support the internal post-installation project closeout process between Renu and Sun Service.
- Contribute to project documentation efforts and maintain clear, concise communication with operations and field teams.
Qualifications:
- High school diploma or equivalent required; associate’s degree or higher in a relevant field preferred.
- 2 - 4 years of experience as an administrative associate or similar role.
- Highly proficient in Microsoft Suite (Word, Excel, Powerpoint, Outlook etc.) and Google Suite.
- Excellent communication skills both written and verbal.
- Strong organizational and multitasking abilities.
- Attention to detail and a high level of accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Exceptional customer service skills and a high level of professionalism.
- Strong problem-solving skills and a proactive approach to tasks.
- Flexibility to adapt to changing priorities and tasks.
- Positive attitude and a team player. Always willing to help and assist others as needed.
