Accounting Assistant

Reports to: Director of Accounting

Terms:  Regular full-time, hourly; regular onsite hours required

Business hours: Full-time work during business hours in the range of 6 am-7 pm Mon-Fri

Compensation: $52,000 - $58,000.00 / yr

Purpose

Under general supervision of the Accounting Director, the Accounting Assistant (AA) position performs varied accounting tasks and upholds established policies, methods, and procedures when processing and maintaining financial data and records. The AA follows departmental guidelines to resolve problems and research information in order to attain accuracy on all financial documents and reports. The AA collaborates with other members of the Finance Department and cross-departmentally to improve on and sustain financial processes and essential communication across the organization. Every day’s work will consist of handling the full cycle of accounting data entry and duties, including daily, weekly, monthly, and annual tasks, in accordance with Generally Accepted Accounting Principles (GAAP).

Responsibilities

Accounts Payable (AP)

· Maintain accurate records of accounts payable.

· Receive and organize incoming mail and invoices (mail sorting and digital invoices).

· Monitor and enter all invoices, ensuring precise data entry accuracy.

· Mail AP checks as directed by Accounting Director.

· Reconcile invoices with the PO system, monitoring compliance with established systems.

· Communicate cross-departmentally with managers to rectify errors or missing data in PO process.

· Set up new vendors and customers in accounting software and maintain up-to-date data.

· Reconcile vendor statements monthly.

· Research and respond to vendor inquiries.

· Enter in credit card charges and reconcile all credit card statements


Accounts Receivable/Billing (AR)

· Maintain accurate records of accounts receivable.

· Process incoming payments from all sources (paper checks, ACH, credit card).

· Process customer invoices as needed.

· Create weekly report of aging customer invoices.

· Review and send out collection notifications weekly by the Accounting Director’s direction.

· Respond to customer inquiries, facilitating positive relationships with Eureka’s partners.

· Maintain digital back up files of check deposits as well as disposal of customer checks once verified.


Month End and Additional Accounting Duties

· Weekly booking of payroll

· Enter data on weekly fuel consumption tracking spreadsheet for monthly report.

· Enter payroll data on weekly overtime tracking spreadsheet.

· Process 3rd party and city revenue shares per Accounting Director’s direction.

· Assist with the preparations of month end, quarter-end, and year-end reporting.

· Carry out assigned tasks on the monthly invoice checklist.

· Provide excellent professional customer service both internally and to external customers.

· Assist with data entry and maintaining fixed asset, inventory, and depreciation schedule postings.

· Assist with Audit preparation

· Special projects and other duties as assigned


Qualifications:

· One-year technical certificate in Accounting or at least two years of experience in an accounting support roll or equivalent experience

· Working knowledge of accounting and business software (Sage Accounting, Microsoft Office) 

· Highly organized, able to pay close attention to detail and controls

· A high degree of business communication skills (verbal and written) in order to correspond with vendors, customers, and employees

· Ability to work with and maintain confidential information

· Interest in the organization’s mission


Working Conditions:

Working conditions are normal for an office environment. This is a hybrid/remote working schedule, which is not guaranteed for an indefinite period of time and may be altered according to business need and/or performance. Will require virtual meetings, digital collaboration tools, and internet connectivity. 

Work may require occasional weekend and/or evening work.
