JOB OVERVIEW
Reporting to the Director, Marketing, Communications & Outreach (MC&O), the Liaison Officer is responsible for working closely with the parent company, the executive team, and the legal team, to support corporate governance and to manage and impact relationship management activities at the corporate level. The incumbent must demonstrate strong interpersonal skills, build effective working relationships across all organizational levels, and possess proven time management, written communication, and organizational skills. Additionally, they must exhibit attention to detail and a high level of professionalism to interface with executive leadership and handle highly confidential materials.
KEY ACCOUNTABILITIES
Working in accordance with prescribed safety procedures and regulations:
- Lead the design, implementation, and continuous improvement of standardized procedures and processes for preparing and submitting Board submissions, acting as a guide and mentor for Laurentis employees
- Direct the development and execution of Board meeting schedules and processes, partnering with the Executive Administrative Assistant and senior leadership to ensure seamless coordination, timely scheduling, and alignment with organizational priorities
- Establish and oversee a system for tracking Board responses, ensuring timely follow-through on action items, and implementing clear documentation and reporting mechanisms to ensure accountability and transparency
- Spearhead the research, preparation, and distribution of meeting materials, presentations, memos, and other key documentation, collaborating with executive leadership and communications teams to guarantee content accuracy, relevance, and alignment with organizational goals
- Drive the development of processes for the creation, management, and distribution of sensitive materials, ensuring compliance with confidentiality and privacy standards and mitigating risk
- Act as the primary point of contact and liaison with the parent company’s Corporate Secretary, overseeing the coordination of meeting logistics, agenda development, documentation management, and follow-up actions to ensure alignment and efficiency
- Lead the creation and maintenance of a formal process for scheduling, tracking, and documenting integration activities, ensuring effective cross-functional communication and alignment of objectives across teams
- Develop and implement strategies to ensure key stakeholders attend Board meetings as required, providing leadership and support in pre-meeting preparation, documentation, and post-meeting follow-up
- Ensure effective coordination
- Assess and evaluate the effectiveness of integration programs, recommending and implementing improvements to uphold professional standards and optimize stakeholder satisfaction
- Establish and maintain stakeholder lists, ensuring that key relationships are managed effectively, and that communication is streamlined and strategic.
- Collaborate with communication teams to design and manage a comprehensive process for the seamless integration and timely distribution of information across organizational communication channels.
- Take ownership of organizational process improvement efforts, continuously evaluating needs and leading the development or refinement of processes to drive greater efficiency, effectiveness, and alignment with company objectives
- Other duties as required
EXPERIENCE
We are seeking dynamic and results-driven professionals who have:
- Requires a good knowledge of English to effectively communicate both orally and in writing with all levels across the organization
- Law or writing/communications experience is considered an asset
- This knowledge is considered to be normally acquired through the completion of 4 years of university training or a college diploma in a relevant field such as Law, Communications, Journalism, or Business Administration
- A period of over 8 years of work-related experience is considered necessary to fulfill this role
