About the Dispatch Clerk position

As a Dispatch Clerk your primary responsibility will be to oversee and manage the efficient dispatch of goods from the warehouse to their final destination, ensuring timely delivery and adherence to quality standards. You will play a crucial role in maintaining smooth operations within the dispatch department.

Dispatch Clerk responsibilities are:

Stock storing/staging

  1. Ensure that all stock is being stored safely and that the correct H&S practice is being always maintained. Report any damaged or missing stock (discrepancies) to direct supervisor and inventory controller.

  2. To determine where the stock needs to be stored, it is crucial to identify where the shipment is going to (Site, customer or supplier), what type of stock order is being sent (Customer order or replacement, Inter Company Transfer Order, Local Order or International Order) and what the destination of the stock is intended for.

Order Fulfilment

  1. Verify that the stock physically picked is relating to the picking slip (quantity and specific SKU) and that the stock needs to be in a saleable condition.

  2. Depending on the type of order (Customer Order, Returns, or Inter Company Transfer), it is imperative to undertake the requisite actions to uphold the Service Level Agreement (SLA). If the item(s) on the pick slip align with the prescribed criteria of correct quantity, SKU, and quality, invoicing is warranted in accordance with the SLA.

Packaging

  1. Items to be packaged in a manner to reduce damages during storage and transport. It should also be presentable as not to tarnish the company鈥檚 image.
  2. All lose items that does not have a label, should be labelled as per SOP.

Dispatch Coordination

  1. Plan and organize the dispatch schedule for the following day by liaising with the fulfilment team of what is to be expected to come through for the day.
  2. Scrutinise each delivery as to ensure that the delivery address and contact person/number is correct. Should anything be wrong, report it to the originating salesperson as to correct before attempting delivery.
  3. Allocate resources effectively to meet delivery timelines.
  4. Communicate with drivers and couriers to ensure timely departures.
  5. All PODs of the previous day to be scanned on system before COB.

Housekeeping

  1. Floor and workstations are to be kept neat, clean, and tidy all the time. 

  2. All stock should be kept within their agreed storage areas. Inventory found outside of a location must be allocated to the correct location, make use of the SOH with inventory detail as to determine where the stock need to go. Before physically moving it to the location, inform the inventory controller of your action and obtain approval from them.

  3. All equipment should be kept clean and in a condition that is conducive for the working area.Establish and review allocated intermediatory storage locations as to promote increased inventory accuracy.

  4. Identifying workplace safety hazards and ensuring that the area is being kept in a manner to promote a culture of Health and Safety.

Dispatch Clerk requirements are:

  • Matric/NQF4  essential

  • 2+ years' warehousing experience

  • 2+ years administration experience

  • Be able to cope under high level of pressure & fast-moving environment. 

  • Attention to detail and problem-solving abilities. 

  • Ability to lift and move heavy materials when necessary. 

  • Strong organizational and communication skills. 

  • Familiarity with inventory management software and tools. 

  • Monitoring/Assessing performance of yourself, other individuals, or organizations to make improvements or take corrective action.

  • Quality Control Analysis - Conducting inspections of products, services, or processes to evaluate quality or performance.

  • Basic IT skills, including experience with databases, e.g. MS Office and Netsuite an advantage
