Responsibilities:
In your role as executive assistant, you will be responsible for the following tasks:
- Annual planning for all regular appointments at BU management level
- Internal and external appointment management in German & English
- Travel planning/ booking/ appointment arrangements + travel expense accounting
- Organisation of meetings, events and trainings on site and offsite
- Support for the preparation and follow-up of meetings/ events of the Business Unit
- Support for VC and Freudenberg Management Board visits
Additionally, in your role as project assistant, you may manage the following tasks. Those will also be up to your interests, qualifications and skills.
- Central coordination of the ‘We are Hamburg’ activities and the project groups involved at the location (lighthouses & pilots & project teams) as well as self-driven realization of projects (e.g. Working Lunch, Meet & Greet, etc.) and marketing work for 'We are Hamburg'
- Organisation and Moderation of events & workshops
- Follow-up of the main innovation projects of the business unit
- As part of the construction of a new office building: management and control of the interior design project for the entire office building: management of the various project partners, moderation, organisation, preparation and implementation of workshops with employee representatives
- Support in all aspects of the environment for desksharing
- Support for various change projects
Qualifications:
- Commercial training or studies
- Experience in assistance, planning and organisational tasks
- Good organisational skills and the ability to maintain an overview and ‘keep all the balls in the air’
- Enjoy shaping processes, contributing your own ideas to BU and site projects and working with the various functions and colleagues
- High reliability and accuracy
- The ability to work independently as well as enjoy collaboration with colleagues
- Good MS Office skills
- Very good German and English language skills
