1. Document Management:

  • Organizing, categorizing, and maintaining documents (such as contracts, technical drawings, reports, and correspondence) in physical or electronic formats.

  • Ensuring that documents are correctly archived and stored in secure, easily accessible systems

2. Version Control:

  • Implementing and managing version control for documents to ensure that the most up-to-date versions are in use and older versions are properly archived.
  • Tracking changes to documents, updating document revisions, and managing approval processes.

3. Document Retrieval:

  • Ensuring that documents can be easily retrieved by team members or stakeholders when required.
  • Assisting in the fast retrieval of files for audits, meetings, or reviews.

4. Compliance and Standards:

  • Ensuring that documents comply with industry standards, regulations, and organizational policies.
  • Ensuring proper documentation procedures are followed across departments and teams to maintain consistency.

5. Coordination and Communication:

  • Coordinating document distribution to relevant departments or personnel.
  • Liaising with teams (engineering, legal, project management, etc.) to ensure that documents are accurate and up to date.

6. Data Security:

  • Implementing security measures to protect sensitive documents from unauthorized access or loss.
  • Managing access rights and user permissions for document systems.

7. Audit and Record Keeping:

  • Maintaining an organized and accurate record of all documents, including tracking document flow (e.g., creation, review, approval, distribution).
  • Assisting in audits and ensuring that all required documents are in place.

8.  Document Archiving and Disposal:

  • Ensuring that documents are archived appropriately once they are no longer in active use but still need to be retained for record-keeping purposes.
  • Managing the disposal of documents that are no longer required in accordance with retention policies.

9.  Training and Support:

  • Providing training and support to employees on how to use document management systems or tools.
  • Ensuring that all team members understand and follow proper document management procedures.
