Job Description

Service Administrator The RoleWe are looking for a Service Administrator to provide back-office support and organization for our operations and maintenance team.  This role will report to our Controller and is based at our headquarters in Ridgewood, New Jersey. We can accommodate a hybrid working schedule.

Responsibilities:

  • Carry out all administrative activities needed to order and receive parts, materials, and subcontractor support.
  • Manage administrative relationships between our equipment vendors and subcontractors.
  • Generate, manage, and coordinate work orders and service tickets from receipt through resolution.
  • Ensure preventative maintenance schedules are aligned with the parts and technicians needed to accomplish the tasks.
  • Keep historical service and performance logs for all project sites and associated equipment.
  • Be responsible for the upkeep and the continued development of our inventory tracking system.
  • Coordinate with other SMS functions as needed to ensure our projects are performing as intended.

The Ideal Candidate:

  • Prior work experience with inventory management or ERP Systems
  • Has worked with equipment vendors and subcontractors.
  • Accounting and transactions to include purchase orders and invoicing. 
  • Understand and has experience working with mechanical and electrical equipment and parts.
  • Experience working in supply chain, logistics, or project administration is a plus.
  • Must have excellent communication (written + verbal) and organization skills.
  • Excel at managing multiple priorities for different stakeholders across the business whilst maintaining great attention to detail
  • Work well in a fast-paced team environment that involves coordination with other company functions.
  • Strong computer skills including MS Excel, MS Project, MS PPT, Asana project management, and Inventory Management Systems (NetSuite would be ideal)
