Position Summary:

This is an amazing opportunity for a highly organized and experienced Executive Assistant with a strong business acumen to join our exciting, fast paced, dynamic and growing business. As Executive Assistant to the Managing Director - USA, you will be providing right-hand assistance to the Managing Director whilst he and his team pursue and develop new worldwide business opportunities. 

 

Key Responsibilities:

  • Work directly with the Managing Director (MD) to support all aspects of his daily work routine.
  • Maintain the MD's calendar, including scheduling meetings, appointments, speaking engagements, and travel arrangements. Exercise discretion in committing time and evaluating needs.
  • Keep the MD advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Serve as a liaison between the MD with internal and external stakeholders, receiving and screening the MD's emails and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing queries appropriately for resolution.
  • Determine priority of matters of attention for the MD; redirect matters to employees to handle, or handle matters personally, as appropriate.
  • Provide coordination, monitoring, and communication of projects and programs managed by the MD.
  • Oversee the day-to-day operations of the office, including maintaining office supplies, equipment, and facilities.
  • Assist with the recruitment and onboarding of new employees.
  • Sort and triage mail; maintain e-mail and other address directories.
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
  • Prepare, reconcile, and submit expense reports.
  • Maintain paper and electronic filing systems.
  • Maintain confidential and sensitive information.
  • Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
  • Ensure that travel bookings for the MD are fully and effectively planned and implemented (i.e. flights, hotels, restaurants and any required mode of transportation).
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

 

In addition, the ideal candidate will:

  • Demonstrate ability of capturing complex requirements.
  • Have the ability to relate well to others, and build co-operative and collaborative working relationships, both internally and externally.
  • Have the ability to coordinate with other departments and flag issues.
  • Be flexible to pivot direction quickly to meet deadlines whilst focusing on multiple deliverables simultaneously.
  • Be dedicated to completing tasks with high quality and in a timely manner, with the ability to predict complex project timelines.
  • Be results orientated with the ability to plan and deliver against project deadlines.


Qualifications & Experience:

  • Bachelor's degree (or equivalent).
  • 5+ years' experience as an Executive Assistant supporting C-level or relevant Executives.
  • Experience in office management and team administration.
  • Advanced Microsoft Office skills, particularly in word, excel and PowerPoint.
  • Proven capability to operate in a pressurized environment, requiring discretion, tact, diplomacy, and judgement when dealing with internal and external contacts.
  • Demonstrable experience dealing with highly confidential information.
  • Excellent workload prioritization and ability to multi-task whilst maintaining high levels of attention to detail and meeting deadlines.
  • Gravitas and excellent people skills and the proven acumen to handle complex situations and multiple responsibilities.
  • Ability to think strategically and commercially.
  • Drive and resilience to deliver excellence amidst tight timelines and changing circumstances.
