About the Job

Job Summary:

We are seeking a highly organized and dynamic individual to join our team as an Engagement and Operations Specialist (Contract) for a 3-month contract (with the possibility of extending the contract) to support SF Climate Week. This flagship conference, launched two years ago, has quickly become a cornerstone event in the climate space. 

The role involves overseeing critical touch points with event organizers, sponsors, and attendees while ensuring seamless communication, compliance, and relationship management. This is an amazing opportunity for a motivated individual excited to work with a fast-moving, ambitious team and break into the climate space.




Key Responsibilities:

1. Event Organizer Communication & Support

  • Manage regular email updates to event organizers, keeping them informed and aligned with event requirements.

  • Plan and facilitate town halls and information sessions for event partners to ensure clarity and engagement.

2. Processes & Compliance Management

  • Draft core documentation for event organizers, such as the Event Prospectus and Event Hosting Guide, in collaboration with leadership and the design team.

  • Monitor event organizer compliance, focusing on accessibility, diversity, quality, and attendee experience.

  • Approve registrations in a timely manner and leverage reporting tools to ensure compliance with event guidelines.

3. Sponsor Engagement

  • Act as the primary support contact for sponsors,  managing relationships throughout the sales and event preparation process.

  • Customize sponsorship materials, including decks and contracts, to meet sponsor needs.

  • Scope and manage custom upsell opportunities and collaborate with internal stakeholders to ensure sponsor benefit fulfillment.

4. Attendee Communication

  • Organize town halls and information sessions for event attendees to enhance engagement and satisfaction.

5. Calendar Management Oversight

  • Oversee the calendar review process, ensuring all deadlines and deliverables are met.

  • Triage escalations and highlight high-impact engagements for team members.

  • Support visibility into event planning milestones to enhance community board (CB) member involvement.

6. Sponsor Outreach

  • Conduct outbound sponsor research and engagement to secure new partnerships.

  • Manage volunteer-led sponsor research projects to maintain a robust sponsor pipeline.




Qualifications:

  • Experience: 3+ years in event management, partnerships, sponsorships, or a related field.

  • Skills:

    • Exceptional communication and relationship-building skills.

    • Strong project management and organizational abilities.

    • Proficiency in creating and customizing professional documents and presentations.

    • Familiarity with compliance monitoring and reporting tools (e.g., Luma or similar platforms).

    • Sales and outreach experience is a plus.

    • Comfortable using, or adept at learning, modern technology tools, including ChatGPT, Google Suite, Airtable, and Notion.

  • Attributes:

    • Detail-oriented and proactive problem solver.

    • Collaborative team player with the ability to work cross-functionally.

    • Passionate about climate action and creating inclusive, high-quality event experiences.
