Key Responsibilities:
1. Logistical Support:
Coordinate all logistics for project activities, including workshops, meetings, field visits, and events.
Arrange travel, accommodation, and transportation for project staff, stakeholders, and visitors as needed.
Ensure that venues, materials, and equipment for events and meetings are secured and ready for use.
2. Event Organization and Financial Support:
Assist in planning, budgeting, and managing expenses for project events and meetings.
Track and process payments related to event logistics, ensuring compliance with the project’s budget and financial procedures.
Maintain records of financial transactions and expenses related to events and meetings.
3. Documentation and Filing:
Maintain an organized filing system for all project-related documents, including contracts, reports, meeting notes, and correspondence.
Ensure proper storage and easy retrieval of both physical and digital project documents.
Upload and manage project documents on shared drives, ensuring up-to-date access for team members.
4. General Administrative Support:
Provide general administrative assistance to the project team, ensuring smooth daily operations.
Assist with scheduling and preparing materials for meetings and events, including agendas and reports.
Maintain communication with vendors, service providers, and project staff as required to ensure timely execution of tasks.
5. Financial Transactions:
Record and monitor financial transactions related to the TRVC project, ensuring adherence to SNV’s financial policies.
Assist in the preparation of financial reports for events, meetings, and other project activities.
Reconcile event-related expenses and ensure that financial documentation is complete and accurate.
